Senior Program Associate

Role Description

The Sr. Program Associate, Operations and Executive Support will serve as a trusted partner to the Chief Policy Officer and Policy Center Leadership Team, providing comprehensive administrative, operational, and project support. This role helps ensure the efficient and effective functioning of the Policy Center through:

• Executive support
• Financial management
• Meeting and event support
• Communications
• Document preparation

The Sr. Program Associate will build strong relationships across ZERO TO THREE and with external partners and stakeholders, delivering exceptional customer service while fostering collaboration and supporting the successful execution of departmental priorities and initiatives. This position also leverages technology and AI-enabled tools to improve processes, streamline workflows, and enhance organizational effectiveness.

This is a remote position requiring the Sr. Program Associate to reside within the Washington, DC Metro area.

Qualifications

• Six years of relevant experience.
• Highly organized, proactive, and persistent in anticipating needs.
• Exceptional knowledge management skills and strong attention to detail.
• Excellent written, verbal, and interpersonal communication skills.
• Demonstrated ability to manage multiple priorities and deadlines simultaneously.
• Experience supporting senior executives or organizational leadership.
• Experience processing financial documents, invoices, contracts, budgets, and expense reports.
• Strong event planning and logistical coordination experience.
• Advanced proficiency in Microsoft Office Suite.
• Experience with project management platforms.
• Experience with financial management software and reporting tools.
• Knowledge of CRM systems such as Salesforce.
• Experience implementing workflow automation and AI-enabled productivity tools.
• Experience developing executive-level presentations, reports, and dashboards.
• Strong customer service orientation and ability to work effectively with diverse stakeholders.
• Demonstrated problem-solving skills and sound judgment.
• Ability to maintain confidentiality and handle sensitive information with discretion.

Requirements

• Provide administrative and operational support to the Chief Policy Officer and other senior leaders.
• Proactively manage the Chief Policy Officer’s calendar and coordinate meetings.
• Prepare briefing materials, reports, agendas, and presentations.
• Maintain organized electronic filing systems.
• Coordinate Policy Center leadership meetings.
• Prepare, track, and process financial documentation.
• Coordinate planning and execution of meetings and events.
• Develop high-quality reports, dashboards, and presentations.
• Deliver exceptional customer service to staff, partners, and event participants.
• Leverage AI tools to improve administrative efficiency.
