Organization Overview The Human Resources team at The Rockefeller University handles academic appointments, talent management, employee wellness and benefits, administration and explanation of policies and procedures, affirmative action, employee relations, and immigration. Encouraging employee questions and comments, our team strives to professionally serve our scientific community, offering information on complex immigration updates and general support for all University employee matters. Overview Reporting to the Manager of Immigration, the Immigration Specialist interfaces with the institution’s academic and administrative populations. Responsibilities Partner with all members of an international population, maintaining constant communication with new hires regarding visa documents. Assemble documentation, prepare, and file employment-based non‑immigrant visa petitions, ensuring timely and accurate completion of all paperwork; compile required legal documentation, advise visa holders; serve as an Alternate Responsible Officer for the J‑1 visa program and Designated School Official for the F‑1 visa program; review immigration procedures and legal status of foreign employees. Oversee case management of H‑1B, TN, O‑1, and E‑3 visa holders; maintain Public Access files and assist with the University’s I‑9s. Stay up to date on changes in immigration laws and proactively communicate impacts to stakeholders, ensuring University compliance. Serve as a secondary point of contact for employees requiring immigration assistance. Address immigration concerns and questions and respond to inquiries with empathy and professionalism. Provide advice, guidance, and ongoing education and training to the university administrative community on office processes that align with immigration regulations pertaining to work permits, visa renewals, and permanent residency sponsorship for foreign nationals. Support data management and reporting; prepare regular reports and analysis to track immigration metrics and provide insights to HR leadership. Assist with policy development and process improvements related to immigration programs. Support new hire orientation and front desk activities. Perform additional duties and special projects as assigned. Required Qualifications Possess a Bachelor’s degree in Human Resources, Business Administration, Legal Studies, or a related field. Have at least three (3) years of employment‑based immigration experience, preferably in an HR or legal environment. Have strong knowledge of U.S. immigration laws and procedures (experience with global immigration is a plus). Have experience working with immigration case management systems and HRIS platforms. Have excellent organizational skills, attention to detail, strong communication and interpersonal skills, and the ability to work with diverse populations. Be able to manage multiple cases and deadlines in a fast‑paced environment. Maintain a high level of discretion and confidentiality. Have high proficiency with Microsoft Office and similar applications. Preferred Qualifications Advanced degree preferred. The ideal candidate must be organized, detail‑oriented, able to prioritize, and work independently. Exceptional analytical, interpersonal, and communication skills are necessary. The salary of the finalist selected for this role will be determined based on various factors, including, but not limited to, organizational budgets, qualifications, experience, education, licenses, specialty, and training.
