Clinic Business Office Lead

Kaweah Health is a publicly owned, community healthcare organization located in the greater Visalia area of central California. With more than 5,000 employees, it provides state‑of‑the‑art medicine and high‑quality preventive services across its eight‑campus healthcare district, which includes an acute care hospital, specialized health centers, and clinics. Qualifications 2 to 3 years of medical office experience. Bilingual in Spanish. Successful completion of the Language Resource Assistant (LRA) test at a general level. Job Responsibilities Assist in the effective leadership of day‑to‑day business operations for the assigned clinic. Prepare monthly schedules at least two weeks prior to the beginning of each month. Evaluate, approve, and communicate approval or disapproval of combo requests within one week of receipt when possible. Ensure that all business services staff is trained and knowledgeable in Kaweah Health policies and practices and operates consistently with the standards of the Patient Accounting, Medical Records, and Patient Access Departments. Develop and maintain knowledge of rural health clinic regulations and policies at the state and federal level related to reimbursement, licensing, and related matters. Assist management in revising and updating the Clinic Policy and Procedure Manual for assigned areas as needed. Communicate all new or revised policies and procedures to staff in a timely manner. Complete special projects as assigned; demonstrate initiative and organizational understanding by developing new ideas or projects that promote goals and Kaweah Health objectives. Report progress of outstanding projects to the manager. Perform standard clerical duties, including sorting mail, answering telephones, returning calls, maintaining files, copying, and mailing correspondence. Operate all office equipment. Schedule appointments for the department and order supplies, handling related paperwork. Answer telephone calls, screen and refer calls, take messages, and respond to routine information requests. Greet patients and visitors in a prompt, courteous, and helpful manner. Check in patients; verify and update necessary information in the medical record or computer system. Ensure proper client intake at the front desk. Research information needed to complete the billing process; determine client payment status (Medi‑Cal, insurance, cash, etc.). Refer patients to benefit counselors when necessary. Collect co‑pays, deductibles, and other payments; provide receipts as required; prepare bank deposits. Obtain, maintain, and file medical records; coordinate lab work, physicians’ reports, x‑rays, etc.; distribute reports as assigned. Enter appropriate information into the medical record, ensuring that all documents have been reviewed and filed in accordance with procedure. Gather data and complete reports or forms for the department. Comply with confidentiality policies; release patient information only per authorized requests. Coordinate internal and external phone communications among staff, patients, and providers. Route messages to appropriate departments. Provide patients with information regarding financial policies, registration requirements, and other relevant details. Maintain confidentiality and protect sensitive data at all times. Adhere to organizational and departmental safety standards and guidelines. Work collaboratively and support team members. Demonstrate commitment to service, hospital values, and professionalism through appropriate conduct and demeanor at all times. Demonstrate exceptional customer service and effectively interact with physicians, patients, visitors, staff, and the broader health‑care community. Demonstrate knowledge and skills necessary to provide care and services appropriate to the population served. Perform other duties as assigned. Pay Range $20.78 – $31.17 #J-18808-Ljbffr
