New Hire Starting Salary Range: $20.00 – $22.64 per hour (After hire, pay increases can be earned, see below).

Purpose

The Surgical Care Coordinator is responsible for the seamless coordination and scheduling of complex inpatient and outpatient urological surgeries. Serving as the central operational hub between patients, surgeons, hospital units, and insurance carriers, this professional secures vital pre-certifications, navigates financial clearances, and coordinates pre- and post-operative care timelines. This role is essential for driving surgical department utilization, resolving operational bottlenecks, and ensuring patients are medically and administratively prepared for their procedures.

Responsibilities

• Surgical Coordination: Schedule all complex inpatient and outpatient surgical cases, matching surgeon availability with hospital operating room blocks, diagnostic testing timelines, and post-operative tracking loops.
• Insurance Pre-Certification: Obtain all necessary prior authorizations, medical necessity clearances, and insurance referrals from Medicare, Blue Cross/Blue Shield, commercial managed care, and workers' compensation carriers prior to the date of the procedure.
• Hospital Admissions Logistics: Prepare and transmit exhaustive admission reservations, demographic files, and clinical requisitions to host hospital personnel to secure necessary medical approvals and inpatient beds.
• Financial Triage & Arrangements: Discuss, navigate, and coordinate patient financial arrangements prior to surgery dates, including identifying insurance copays and collecting mandatory pre-payments.
• Patient Compliance & Education: Serve as the primary educational resource for surgical patients; answer complex inquiries, deliver critical pre- and post-operative preparation instructions, and ensure that all legally binding informed consents are fully executed.
• EHR Tracking & Database Management: Utilize specialized medical software (including Epic and Refract Tracker platforms) to monitor patient navigation paths, verify current insurance records, and preserve complete data confidentiality.
• Physician & Referral Liaison: Act as the dedicated liaison between attending urological surgeons, administrative leaders, patients, their families, and external referring physicians to maintain smooth, compassionate care pathways.
• Operational Projects & Research: Gather key metrics and data strings for ongoing clinical research studies, coordinate patient education seminars, and execute special administrative projects assigned by leadership.

Minimum Essential Requirements

• High School Diploma or GED.
• Certification : Successful completion of an accredited Medical Assisting program
• Minimum 2 years of progressive administrative/clerical experience within a fast-paced medical field.
• Technical Compliance: Proficient foundational knowledge of complex medical terminology, insurance regulations, and surgical authorization workflows. Complete operational comfort with practice management databases and general computer software (Epic platform knowledge is highly valued).
• Interpersonal Skills: Exceptional time management, organizational capacity, and independent decision-making skills. Must possess deep professional diplomacy and compassion when interfacing daily with patients, families, and multi-disciplinary healthcare teams.
