About the Role

Are you an operations leader who knows that everything starts at the front desk? Thundermist Health Center is looking for a Front Office Manager to lead all front-of-house functions at one of our sites — ensuring every patient has an exceptional experience from the moment they walk in to the moment they leave. You’ll oversee check-in, check-out, eligibility verification, sliding fee scale assessments, collections, building operations, and the staff who make it all run. You’ll partner with care teams, Revenue Cycle, Patient Access, and site leadership to keep daily operations smooth, safe, and patient-centered. What You’ll Do

Front Desk Operations & Patient Experience

• Oversee all front desk team members and processes including check-in, check-out, eligibility verification, sliding fee scale assessments, collections, and follow-up scheduling
• Ensure a consistent, welcoming, patient-centered experience for every patient from arrival to departure
• Partner with nursing and care teams to support daily clinic flow, exam room readiness, patient handoffs, and real-time resolution of patient concerns
• Conduct routine audits of registration accuracy, eligibility verification, and documentation quality; coach staff and improve workflows based on findings
• Ensure compliance with sliding fee scale, Good Faith Estimates, No Surprises Act notifications, and patient intake requirements

Building Operations & Financial Oversight

• Oversee building operations related to patient flow and staff workspaces including signage, waiting rooms, lobby environment, and wayfinding
• Coordinate facility needs and monitor Environment of Care (EOC) requirements in partnership with Facilities and Safety
• Manage the operational budget for the assigned location
• Ensure front desk staff accurately perform collections and deposits, apply sliding fee scale policies consistently, and understand financial counseling workflows
• Partner with Revenue Cycle to improve point-of-service collections, reduce claim denials tied to front-end errors, and support clean claim submission

Leadership & Cross-Department Collaboration

• Lead, supervise, coach, and develop front office staff including hiring, onboarding, performance management, and progressive discipline in partnership with HR
• Ensure all front desk workflows are documented, current, and consistently applied; drive standardization across staff
• Lead site-level implementation of new workflows, technology, or system changes
• Use data to evaluate operations, monitor trends, and drive improvements in patient flow, collections, eligibility accuracy, and patient experience
• Support FQHC compliance and accreditation activities including HRSA Operational Site Visits and internal audits

What We’re Looking For

You’re an operations leader who sets the tone for the entire patient experience. You’re comfortable managing a team, auditing a registration workflow, resolving a patient complaint, and coordinating a building issue — all before lunch. You lead with accountability, communicate clearly, and care about getting it right for every patient.

• Bachelor’s degree in Healthcare Administration, Business, or a related field — or equivalent experience
• 5+ years of healthcare operations leadership experience, preferably in an ambulatory or FQHC environment
• Demonstrated experience managing front desk, patient access, or practice operations teams
• Strong understanding of front desk, patient access, billing, and clinical operations workflows
• Working knowledge of sliding fee scale programs, Good Faith Estimates, insurance eligibility verification, and healthcare collections
• Exceptional communication, customer service, and problem-solving skills

Preferred:

• Prior experience in an FQHC, community health center, or safety-net setting
• Bilingual (Spanish/English or Portuguese/English) strongly preferred
• Experience with Environment of Care standards and/or HRSA Operational Site Visit preparation
• Experience partnering with Revenue Cycle or Patient Access to reduce front-end registration and billing errors

Compensation

$58,240 – $87,360 annually | Compensation is commensurate with experience and qualifications.

Schedule & Location

This is a full-time (40 hours/week), benefit-eligible, on-site position. Typical schedule is Monday through Friday during clinic hours, with some evening coverage required to support extended clinic sessions and staff supervision across shifts. Occasional coverage at other Thundermist locations may be needed. Occasional weekend or after-hours availability may be required to respond to building, staffing, or Environment of Care issues.
