Office Administrator FULL-Time or PART-Time Positions Available

FULL OR PART TIME POSITIONS AVAILABLE. Experience Required.
Boldt's Plumbing and Heating, a leader in western Wisconsin residential and commercial HVAC and Plumbing service and installation, is seeking an experienced office administrator to join our rapidly growing team.
We are a 3 generation family-owned business providing service to Baldwin, Hudson and surrounding communities in the Greater St. Croix Area.

PRIMARY FUNCTIONS/RESPONSIBILITIES:

· Perform all Accounts payable functions of the company including entering invoices, payments, receipts, and vendor information. Ensure all items are posted to the proper accounts.

· Answer calls and assign work orders to service technicians.

· Review and approve supply requisitions. Assist with inventory tracking and software updates.

· Assist with Accounts Receivable functions including submitting proper paperwork to institutions, filing reports, and monitoring past due accounts.

· Welcome customers and direct phone calls to appropriate staff. Maintain clear communication with visitors and vendors. Responding to emails and calls promptly.

· Perform all functions using Generally Accepted Accounting Principles, fair credit practices and collection regulations.

· Compile, store, and update all processes as needed. Organize office operations and procedures. Monitoring expenditures.

· Preparing payroll. Reviewing the work hours of employees to ensure they work productively and meet deadlines and company standards.

· Reviewing vendor purchase orders and assigning products to appropriate work orders for billing.

· Monitoring office supplies and ordering as needed.

· Assisting service technicians with schedules.

· Reporting office progress to senior management and working with them to improve office operations and procedures.

· Protect the organization's value by keeping information confidential.

You will be an essential part of our team, providing support to various staff, customers, and vendors. Attention to detail and a positive attitude are a must.

Requirements and Qualifications:

  • High school diploma or equivalent
  • Prior experience in a dispatch or administrative role
  • Ability to multitask and prioritize job assignments
  • Proficient with Microsoft Office, Excel, Quickbooks, Outlook programs
  • Highly-organized and willing to learn and grow with the company
