Locations: Tampa, FL (Preferred), Plano, TX or Columbus, OH Compensation: $32/hr Duration: 12 months with the potential to extend up to two or more years Policy and standards for corporate oversight There are 2 major projects needing support Building an Audit History that will show any word that’s in policies / standards (who reviewed it, and all information for counsel) Manager needs to know if things are OCC MRAs without undoing information that needs to be in there. There is guidance to support policies and standards (60 pages of redundant information) – They want this to live in a tool (Confluence SharePoint or ServiceNow) – manager wants experience in one or more of these software’s Coordination / process documentations for third party vendors The manager is not asking for a coder / the needs someone to do about 30% admin and 70% Policy / Standards or Audit (understanding issue and action plans) The role will assist in designing the new build and potentially help map the data (doesn’t need to be a data person) Hierarchy of needs/skills #1 - Policy & Standards background #2 – Regulatory / Audit background #3 – Speaking to AI (and how to do it effectively) Starting at 12 months - potentially extending to 2+ years --- Job Description We’re seeking a detail-oriented Policy and Standards Analyst to build and run a user-friendly, auditable history of policy and standards changes. This role combines meeting administration and preparation with structured cataloging, version control, and knowledge management. The ideal candidate is a strong communicator with hands‑on experience in Confluence (or similar tooling), who can leverage AI prompting to streamline documentation, meeting outputs, and change logs. Key Responsibilities Meeting administration and preparation Coordinate existing recurring governance meetings, including agenda preparation, pre-reads, and attendee management. Capture minutes and decisions, record action items with owners and due dates, and follow through to closure. Maintain a centralized calendar and templates for agendas, minutes, and decision records. Policy and standards cataloging Design and maintain a structured catalog of policies/standards changes with clear versioning, metadata, ownership, effective dates, and change rationales. Establish taxonomy and tagging (e.g., domain, risk category, regulatory mapping, impacted teams) to make discovery fast and intuitive. Create and enforce naming conventions, review cycles, archival rules, and retention aligned to records management. Change history and version control Build a user-friendly “change history” index that surfaces what changed, when, why, and by whom—linking to source documents and meeting decisions. Implement workflows for drafting, reviewing, approving, publishing, and retiring policies/standards. Integrate with ticketing or approval systems (e.g., Jira/ServiceNow) where applicable. AI prompting and documentation automation Use approved AI tools to: Generate meeting agendas and pre-reads from draft edits we are making (as well as prior minutes, open actions) (i.e. develop a repeatable process to take word edits into consumable PowerPoint slides for the meetings) Summarize meeting notes and extract decisions/action items. Draft change logs and redlines; create side‑by‑side diffs and executive summaries. Maintain prompt libraries and guidance to ensure consistent outputs. Continuously improve prompts and guidelines for accuracy, tone, and compliance. Document procedure around all prompts/AI being used Readability and plain-language review Enforce readability standards for policy, standards, and guidance documents (e.g., target reading grade levels, executive summaries, scannable structure). Assess documents using readability metrics and qualitative criteria (clarity, concision, jargon reduction, consistent terminology, active voice). Normalize document structure: headings hierarchy, summaries, key changes callouts, definitions/terms, FAQs, and “what’s changing/why” sections. Partner with document owners to make recommendations for clarity and accessibility (inclusive language, consistent style, and formatting). Incorporate accessibility best practices (e.g., descriptive titles, alt text for images, table readability) in collaboration with UX/a11y stakeholders. #J-18808-Ljbffr
