Job Title: Grants Coordinator Location: Sarasota, FL Regular/Temporary: Regular Full/Part Time: Full-Time Job ID: 63519 Department The John & Mable Ringling Museum of Art is located in Sarasota, Florida, and is a department of Florida State University. Responsibilities This role coordinates institutional grants for The Ringling, including overseeing end-to-end grant processing, grant data preparation, Research Administration Management Portal (RAMP) routing, proposal submissions, fiscal coordination with Accounting, reporting, solicitation tracking, and communications to support for grant-funded projects. Manages a portfolio of local, state and national grant opportunities; researches and tracks solicitations and deadlines; maintains the annual grants calendar. Prepares and submits letters of inquiry and intent, grant applications, sponsorship proposals, and acknowledgment letters. Maintains all grant reporting files, including government and foundation grants. Oversees end-to-end grant processing, including gathering required institutional and project data, coordinating approvals, and routing submissions through the Research Administration Management Portal (RAMP) or other required systems. Ensures timely proposal submissions, approval process, and reporting. Works closely with Ringling Accounting, FSU Sponsored Research Administration, and other appropriate offices to monitor back-end/fiscal grant responsibilities. Collects data and metrics for reporting and analysis per grant application and reporting requirements; assists with monitoring expenditures and activities. Completes grant reporting and closeout activities. Meets with representatives from foundations and corporations to cultivate interest in supporting museum initiatives through grant funding and establishes ongoing relationships with constituents that provide grant support to the museum. Coordinates with Marketing and Communications to support features, acknowledgments, and public-facing content related to grant-funded projects; may provide copy editing for grant-related communications and other marketing communications as needed. Collaborates with the Development Team to coordinate corporate and foundation grant applications, reduce request redundancy, and ensure relevant records are in the FSU Foundation CRM donor database. Performs other duties, as assigned, that support departmental and organizational projects and goals. Qualifications Bachelor's degree and one year of experience or a combination of post-high-school education and experience equal to five years. This position requires successful completion of the eSPEAR Certification or ability to obtain the certification within 6 months of hire. Preferred Qualifications Excellent written and verbal communication skills, including professional business writing Robust interpersonal skills and ability to collaborate with internal and external partners Demonstrated problem-solving skills and ability to work independently with minimal supervision Certified Grant Writer (CGW) or Grant Professional Certification (GPC) Advanced: Project management and organizational skills, with the ability to manage multiple deadlines Attention to detail and accuracy in documentation and data management Skill in Microsoft Office Suite, particularly Excel, Word, and Outlook Experience with: Coordinating grant applications, awards, and reporting requirements Preparing, reviewing, or monitoring budgets and financial reports Grant management software, databases, or CRM systems Experience coordinating meetings, maintaining records, and tracking deliverables Previous experience in grant administration, sponsored research, development, fundraising, or nonprofit operations Knowledge of: Grant compliance, regulations, and funding agency guidelines Nonprofit, higher education, government, or museum funding environments Ability to: Research and identify funding opportunities Analyze data and prepare reports for stakeholders and funding agencies Maintain confidentiality and handle sensitive information Contact Info For more information or technical assistance, please contact Ringling Human Resources via email or by calling View phone number on click.appcast.io.
