Sales Coordinator

Starting immediately, Full-time with 40 hours per week

The Sales Coordinator plays an important role in supporting an efficient and positive customer experience through accurate order processing, purchase order management, customer service, invoicing, billing, payment processing, pricing verification, and customer account administration. This position works closely with Basler’s North American Sales team and Global Headquarters in Germany to process and track customer orders, maintain accurate information, resolve order-related issues, and support timely communication with customers and internal stakeholders.

The ideal candidate brings strong attention to detail, communication, organization, prioritization, and teamwork skills, along with the ability to manage multiple responsibilities in a fast-paced office environment and contribute to continuous improvement.

Your responsibilities

• Manage order processing and purchase order management in SAP and eCommerce, ensuring accurate and timely processing.
• Provide responsive customer service, including order inquiries, expedited requests, and shipment follow-up.
• Maintain customer master data, customer pricing, part numbers, shipping information, and perform pricing verification.
• Process payments and resolve related issues.
• Manage intercompany orders and pricing, including cross-company purchase orders.
• Monitor billing and invoicing, resolve posting issues, and process invoices through customer portals.
• Maintain customer portals and related Excel spreadsheets.
• Coordinate with Global Headquarters on customer orders, shipments, and requests.
• Perform the 4-Eye process and general office administration and reception support.
• Demonstrate strong organization and prioritization, communication and teamwork, attention to detail, and continuous improvement.

Your qualifications

Basic Qualifications

• High school diploma or equivalent combination of education and experience.
• One to three years of office administration experience.
• Proficiency with Microsoft Office, particularly Excel and Word.
• Excellent written and verbal communication skills.
• Strong attention to detail, accuracy, and accountability.
• Strong organization and prioritization skills with the ability to manage multipleresponsibilities and adapt to changing priorities.
• Ability to work effectively both independently and collaboratively as part of a team
• Ability to understand company policies, follow established procedures, and execute responsibilities consistently.

Preferred Knowledge, Skills, and Abilities

• Familiarity with SAP or similar enterprise resource planning systems.
• Experience or exposure to order processing, purchase order management, eCommerce, customer master data, customer portals, invoicing, billing, payment processing, pricing verification, or intercompany orders.
• Strong customer-service orientation and ability to communicate effectively with internal and external stakeholders.
• Continuous improvement mindset with an interest in improving workflows, processes, and administrative efficiency.

This position reports to the Manager of Sales Operation and Administration. This is a hybrid role and candidates must live in the Philadelphia, PA area with proximity to Basler's US headquarters in Exton, PA.
