Patient Services Representative - Dermatology Practice

As a Patient Services Representative, you will be one of the first and last people our patients interact with. You will play an important role in creating a welcoming environment, assisting patients throughout their visit, supporting our providers and clinical team, and helping ensure the office runs smoothly each day.
What You'll Do

• Warmly greet patients and provide professional, attentive customer service.
• Assist patients with check-in and check-out.
• Schedule and reschedule patient appointments.
• Verify insurance eligibility and benefits, including copays, deductibles, and coinsurance.
• Obtain referrals and prior authorizations when required.
• Collect and accurately post patient payments, balances, deductibles, cosmetic services, and product purchases.
• Maintain accurate patient demographics, insurance information, consents, and required documentation.
• Prepare patient charts and schedules for upcoming appointments.
• Schedule follow-up appointments based on provider and clinical team instructions.
• Communicate with patients regarding appointments, outstanding balances, and other practice-related needs.
• Document and follow up with patients who miss scheduled appointments.
• Maintain a clean, organized, and welcoming reception and waiting area.
• Accurately complete end-of-day reconciliation, fee ticket review, batch submission, and cash balancing.
• Process medical records requests in accordance with HIPAA guidelines.
• Monitor and distribute incoming faxes and communications to the appropriate team members.
• Communicate effectively with providers, clinical staff, management, and the call center to support efficient patient flow.
• Perform additional administrative and patient service responsibilities as needed.

What We're Looking For

• High school diploma or equivalent required.
• At least one year of customer service experience; medical office experience is preferred.
• Previous dermatology experience is a plus.
• Bilingual candidates are encouraged to apply, but bilingual proficiency is not required.
• Excellent communication and customer service skills.
• Professional, friendly, and patient-focused demeanor.
• Strong attention to detail and commitment to accuracy.
• Ability to multitask, prioritize responsibilities, and remain organized in a busy medical office.
• Comfortable learning and using electronic medical records (EMR), practice management systems, and other computer applications.
• Dependable team player with a positive attitude and willingness to assist where needed.
