Medical Clinic Administrative Assistant – onsite, non-profit
M-F 8AM – 5PM
$40-45k/year
Dallas, TX 75212
3-4 month contract, possibly longer
Must have had immunizations or be willing to be vaccinated for the following:
- TDAP (within the last 10 years)
- Flu Vaccine (September–April)
- Hepatitis B (3 doses)
- MMR (2 doses)
- Varicella (2 doses)
- TB Test (yearly)
The Administrative Assistant position is responsible for providing administrative support to members of senior management.
JOB FUNCTIONS
· Maintains scheduling and event calendars for senior management.
· Answers telephones and provides information, takes messages, or transfer calls as appropriate.
· Opens, sorts, and routes incoming mail, answer correspondence, and prepares outgoing mail.
· Operates office equipment, such as fax machines, copiers, or phone systems and arranges for repairs when equipment malfunctions.
· Types, formats, proofreads, and edits correspondence and other documents.
· Composes, types, and distributes meeting notes, routine correspondence, invitations, etc.
· Compiles, sorts, makes copies, and files office documents and pertinent material.
· Conducts research and compiles data for reports, packets, training materials, binders, etc.
· Prepares reports, charts, and other presentation materials utilizing word processing, spreadsheet, presentation, or specialized software.
· Upkeeps information in electronic databases.
· Coordinates conferences, meetings, or special events, such as luncheons or ceremonies.
· Arranges travel reservations for office personnel.
· Assists with staff time and attendance data recording.
· Orders and distributes office supplies.
· Performs other tasks as required by supervision.
MINIMUM QUALIFICATIONS
· High School Diploma or equivalent
· 4 yrs. clerical work or 2 yrs. clerical work + Administrative Assistant Certification; or 0 yrs. clerical work + Associate Degree or equivalent credits.

· Must be able to maintain required immunizations as required by the organization.
