People Operations Associate

Vydia is seeking a Part-Time Office & Operations Assistant to support day-to-day office operations, People Operations, and company-wide initiatives. This role is a great opportunity to gain hands-on experience across many areas of the business while helping create an organized, collaborative, and welcoming workplace environment.

The ideal candidate is highly organized, proactive, detail-oriented, and enjoys supporting both employees and leadership in a fast-paced setting. This position is currently located at our headquarters in Holmdel, New Jersey. Candidates should be located within a reasonable commuting distance of Holmdel and Asbury Park, NJ. Primary responsibilities include, but are not limited to, the following:

Key Responsibilities:

• Assist with coordinating employee onboarding and offboarding activities, ensuring a seamless employee experience.
• Maintain accurate employee records, contact lists, organizational documentation, and company intranet content.
• Assist with communication and coordination of employee benefits, including ECLA benefit enrollment and maintenance.
• Review and process employee out-of-office requests while maintaining the Tec On Call and Out-of-Office calendars.
• Support employee communications and People Operations initiatives.
• Schedule and coordinate meetings for employees, executives, and clients as needed.
• Manage weekly mail operations, including receiving, scanning, filing, storing, distributing correspondence, and preparing outgoing shipments.
• Coordinate company events and logistics, including town halls, bi-annual company parties, team gatherings, and Culture Committee initiatives.
• Coordinate employee wellness initiatives, including management of the Wellness Fund, and coordinate employee recognition and engagement programs.
• Coordinate office services, recurring vendor management, storage units, parking, and support operations for the New Jersey and Los Angeles offices.
• Liaison with the company's outsourced IT provider, assisting with employee support requests and issue resolution.
• Manage recurring departmental vendor invoices, subscriptions, and operational vendor relationships.
• Maintain confidentiality while handling sensitive employee and company information.
• Identify opportunities to improve people and office operations processes and operational efficiencies.
• Perform other duties and special projects as assigned.

Qualifications:

• Strong communication and interpersonal skills, with the ability to collaborate effectively across teams
• Proficient in Google Workspace, Microsoft Office Suite, and communication/collaboration tools
• Genuine interest in technology, music, and/or pop culture
• Bachelor's degree preferred
