RESPONSIBILITIES: Under the direction and supervision of the Site Supervisor and/or Program Director/Administrator, assumes responsibility for assisting with administrative responsibilities for day-to-day operations.
- Become thoroughly knowledgeable with the Title 5 and Title 22 regulations and requirements, including contractual requirements, enrollment regulations and guidelines, program evaluation criteria, other program guidelines affecting the operation of the childcare center, and MAOF procedures and requirements.
- Supervises, guides, and instructs staff in day-to-day operation of the child care center, in the implementation of contractual commitments through planned program activities, and in meeting the needs of the children (groups and individuals). Assist in orientation of new teachers in all phases of the center program.
- Collects lessons plans are collected from teaching staff in accordance with established schedule.
- Create and maintain method for ensuring that initial, interim, and final assessments of children are performed and documented in accordance with respective assessment requirements .
- Assist with preparation for the documentation necessary for the end year reporting (ECERS, DRDP, Family Surveys), including any other documentation required by the State Department of Education.
- Assist in the supervision of supportive services staff to insure implementation of supportive services program and insure all participating families are benefiting from the child development program.
- Participates in monthly supervisor staff meetings in the absence of the site supervisor.
- Submits daily attendance and/or ratio report to administrative office in a timely manner; Communicates and works with supportive staff regarding children absences, to include contacting families.
- Assist in the recruitment to maintain center enrollments; Assist with center enrollments.
- Assist in the preparation of staff performance evaluations documents and forms according to established policy and guidelines.
- Ensures a conducive working environment at all times to include the proper guidance of staff.
- Ensures quality services to clients at all time to include addressing parent concerns adequately.
- Assist in conducting regular center monitoring, documents, and records.
- Attends community events as assigned.
- Ensures overall cleanliness of center.
- Prepares children meals in the absence of the Homemaker.
- Enforce MAOF policies and procedures in terms of being fair, firm, and flexible.
- Carries out any activities, which may be necessary for the proper implementation of MAOF Child Care and Preschool programs, to include duties in the absence of the site supervisor.
- May attend program conferences and / other workshops relevant to this position.
- As necessary, provides instructions to the children individually and in classes, especially during periods of critical personnel shortage or other emergencies.
- Prepares and submits 9400 and nutrition reports for site
- Collects, prepares, and/or submits reports due at regular intervals and prepares summaries for Site Supervisor
- Reviews and maintains accurate enrollment rosters
- Conducts orientations
- Maintains regular communication with administrative office
- Prepares and submits orders for site (supplies, food, janitorial)
- Manages invoices and quotes, as necessary
- Maintains petty cash for Site Supervisor
- Assists with payroll processing
- Other duties as assigned.
- Minimum two (2) years of progressively more responsible administrative experience.
- Site Supervisor Permit from CTCC, required.
- Bilingual (Spanish and English) preferred.
- CPR & First Aide Certified.
- Health & Safety Certified.
- Physical and mental fitness to engage in management service in children's centers.
- Love for children and ability to work with people harmoniously. Evidence of emotional maturity, stability tactfulness, and the ability to provide professional leadership.
- Must be fingerprinted (State law).
- Strong written and oral communication and organizational skills.
- Excellent computer skills, including knowledge of Excel and Word
- Must possess own vehicle at all times, a valid California Driver's License and appropriate automobile insurance.
- Ability to maintain cooperative, diplomatic working relationships with co-workers, supervisors and the public; work as part of a team and collaborate with colleagues; and complete projects under tight deadlines even when there are requirements and changes in assignments.
- Must be committed to the goals and objectives of the Mexican American Opportunity Foundation.
- Must meet State health requirements.
- Must submit to a pre-employment physical examination, Drug & Alcohol screening and Tuberculosis (TB) (renewed every four years), clearance needed at the time of pre-employment.
- Must submit to a flu vaccine once a year or provide waiver.
- Must provide vaccination records for influenza, pertussis and measles, at the time of employment.
