Basic Function and Scope of Responsibilities

Responsible for the registration and transfer of students and preparation/maintenance of student records for the district.

Essential Functions

• Communicates by phone and facsimile with other schools or outside agencies regarding records requests as needed.
• Compiles data for new and previous students for accuracy in the Synergy student management system.
• Coordinates new student registration.
• Maintains, organizes and reconciles new, inactive and withdrawn student records.
• Maintain demographic data in computer database.
• Maintain enrollment and attendance manuals.
• Maintains and respects confidentiality of student and school personnel information.
• Maintains forms and supplies for use in the Student Information Office
• Performs monthly/quarterly and yearly attendance reports and calculations.
• Performs training as assigned by the Director of Student Information.
• Process record requests for student files within the allowed grace period, retaining required documents.
• Processes and organizes all open enrollment forms for Superintendent/Assistant Superintendent.
• Provides direction to parents and supervision of Student Information lobby assigned to the Centralized Enrollment Center.
• Reviews a variety of data for accuracy, completeness, and conformance to established standards and procedures.
• Supplies centralized student registration support.
• Supplies open enrollment application support.
• Support for K-2 grade reporting.
• Support for parents regarding ParentVue access.
• Supports school registrars and attendance clerks in the district
• Performs other duties as assigned.

• High school diploma or equivalent (R)
• Experience, Area(s) of Study, and/or Licenses: (R) if required or (P) if preferred
• Synergy student management system experience desired. (P)

Physical Activities and Visual Acuity

Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The physical activities include: reaching, standing, walking, lifting, fingering, talking, and hearing.

The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication of parts at distances close to the eyes.

Working Conditions

The worker is not substantially exposed to adverse environmental conditions (as in typical office or administrative work).

Terms of Employment

Non-Exempt: 12-months Salary and employment terms based on the Classified Hourly Placement Chart as established by the Governing Board.

Evaluation

Performance of this job will be evaluated annually in accordance with District policy.
