Responsibilities and Duties

• Reviewing, preparing, and routing purchase orders.
• Coordinating transportation providers to ensure prompt and proper movement of shipments.
• Responding to customer inquiries and referring clients to the proper channels.
• Reviewing purchase orders and shipping documents to ensure accuracy.
• Preparing bills and invoices.
• Onboard New Clients.

 

Qualifications and Skills

• Effective communication, including writing, speaking and interpersonal communication.
• Quick critical thinking and problem-solving abilities.
• Excellent customer service and client relations skills.
• Great leadership and goal setting.
• Ability to work in a fast-paced environment.
• Ability to use computers, software and other technology for inventory and communication purposes.
• Ability to work independently and handle multiple projects.

Daily Tasks Overview

Plant/Office Entrance - Open gate for trucks, greet visitors etc.

Customers – manage customer information.

Orders – process all incoming orders.

BOL’s - Prepare documents for each shipment – pull slip, packing list, order confirmation, BOL, and shipment labels.

Invoicing – invoice all orders shipped/picked up daily.

Sample requests – prepare Sample Request Form from salesman’s information.

Quotes – prepare and email quotes.

Filing – file all A/R open and closed. Close out and create new files at year end.

Dropbox – load any new PDBs and other needed sales materials.

Sales Register – put all order information into the system.
