Legal Intake Coordinator

Location: Seattle, WA (Hybrid)

Salary: $55K- $65K + Bonus

LHH is partnered with a well‑established Seattle law firm who's seeking a Legal Intake Coordinator to serve as the first point of contact for new matters and prospective clients. This role is critical to evaluating new case inquiries, gathering key information, and ensuring matters are routed appropriately and efficiently within the firm.

Key Responsibilities

• Serve as the initial contact for incoming calls, emails, and online inquiries
• Conduct detailed intake interviews to gather facts, documentation, and relevant background
• Accurately enter and maintain intake data within the firm’s case management system
• Identify urgency, conflicts, and appropriate practice group routing for new matters
• Coordinate with attorneys and legal staff to ensure timely follow‑up on viable cases
• Maintain confidentiality and professionalism when handling sensitive information
• Track intake metrics and assist with intake process improvements as needed

Qualifications

• 2+ years of prior experience in a law firm intake, legal assistant, or administrative legal role required
• Strong communication and interpersonal skills
• Excellent attention to detail and organizational skills
• Ability to manage a high volume of inquiries while maintaining accuracy
• Proficiency with PracticeMaster, Tabs3 and/or NetDocuments preferred

Benefits

• Medical: $500 deductible, 90/10 coverage
• HSA: Firm contributes $1,500 per year
• Retirement: 401(k) eligible immediately, 3% safe harbor contribution plus match up to 4%, 3.5% profit sharing
• Paid Time Off: 2 weeks PTO accrued immediately and3 weeks after 5 years (usable after 90 days)
• Transportation: Parking reimbursement or transit reimbursement (bus/ORCA/ferry)
