Mediation Case Manager (Lead)

Hours per week = 40 Pay = $20/hr. Paid time off available.

The FairField Center has been a pillar in the Shenandoah Valley since 1982 as the first community mediation center in Virginia. The center is committed to the just resolution of conflicts by empowering individuals and communities to live and work together peacefully.

POSITION SUMMARY

1. CASE MANAGEMENT: Provide case management and oversee case management services for FairField’s court-referred (and other-referred) mediation services. Case management includes:

1. Intake and screening interviews (May be by telephone, in-person, or electronic mediums). Gathering relevant information from potential clients, explaining the mediation process, and assessing appropriateness.

1. Scheduling : Matching times clients are available for mediation with appropriately qualified mediators and, as needed, observers; completing reminder calls and emails. Cases must be assigned to mediators in a fair and equitable manner based on the mediators’ schedules, availability, and abilities with regard to specific case types.

1. Preparation : Placing forms in case files; assigning cases to mediation rooms; checking mediation rooms for conditions and necessary materials, sending video conference links as needed, and greeting mediators and clients when they arrive.

1. Follow-up : Rescheduling cases; processing agreements, contacting clients for follow-up on agreement status, documenting and filing case outcome with the Courts as needed.

1. Data collection : Maintaining the details of case events by entering and updating data into databases; providing data to the Executive Director and courts as needed.

1. Reporting and billing : Attending court as needed, completing court reports, and billing and invoicing.

1. Evaluation : Reviewing mediator evaluations and sharing any client concerns with the service provider and Executive Director

1. Quality Control : The lead case manager must maintain a roster of certified mediators who meet the qualification requirements established by the court. The manager ensures that mediation services provided through the FairField Center are of high quality. Managers are under no obligation to accept a new roster request, however, the manager should strive to achieve a large and diverse cadre of mediators to best accommodate the needs of parties.

1. SUPPORT SERVICES: Oversee responses to phone calls, be familiar with the other FairField services, ensure forms are restocked as necessary, and perform other office duties as necessary.

1. MEDIATION TRAINING AND PARTICIPATION: Participate in trainings, role plays, and attend mediations as an observer or co‑mediator during mediation sessions as available,

1. MEDIATION CERTIFICATION: Hold or obtain Virginia mediation certification in General District Court (GDC) and Juvenile and Domestic Relations Court (JDR). Enroll in the certification process within 6 months to be completed within the certification window.

REQUIRED QUALIFICATIONS:

• Self-motivated, detail-oriented, and able to handle stressful situations (de-escalation skills)
• Able to collaborate with individuals and teams in a professional setting
• Computer fluency, able to learn and maintain databases and work with new technologies as required.
• Able to work at the FairField Center’s Harrisonburg, VA office

• English and Spanish speaking
