Junior Event Producer

Position Overview To Be Designed is seeking a highly organized and proactive On-Site Coordinator to lead event execution from preparation through post-event wrap-up. This role is responsible for ensuring seamless event operations, managing onsite teams, and delivering an exceptional client experience. You take initiative, ask the right questions, and ensure every detail is set up for success. Key Responsibilities Pre-Event Preparation Collect all event details including schedules, locations, floor plans, and client requirements ahead of event day. Complete and distribute Ops Decks to On-Site Coordinators and Crew Leads prior to Monday. Production Meetings Ensure backup coordinators receive all necessary documentation when covering events. Print and organize all weekly paperwork (Install and Strike sleeves). Clearly label projects requiring floral and coordinate with floral department. Maintain and update production schedules with accurate, current information. Communicate any event changes within 5–7 days via Slack in the "Event Changes" channel, tagging all impacted departments. Ensure warehouse team has all required paperwork for loading equipment, inventory, and supplies. Coordinate with logistics for timely delivery and setup. Lead pre-event briefings to align team on schedules, responsibilities, inventory, and updates. Demonstrate the ability to critically think and translate design into an execution plan by asking appropriate questions and setting up yourself and your team for a successful install. Onsite Management Serve as the primary point of contact for clients, vendors, and venue staff. Oversee event setup according to floor plans and client specifications. Direct and supervise onsite team to ensure efficient execution. Troubleshoot and resolve any logistical, technical, or client-related issues. Monitor event flow and adjust as needed to ensure a seamless experience. Client Communication Maintain clear, professional communication with clients throughout the event. Provide real-time updates on setup progress, timing, and any changes or delays, including arrival and strike timing. Act as liaison between client and internal teams, relaying feedback and requests promptly. Collect and review information in advance to ensure a clear understanding of the event and how the contract will be executed, setting the event up for success. Compensation: $30/hr.
