What You'll Do
1. Grant Administration & Proposal Support (30%)
- Research prospective grant opportunities and prepare concise summaries for Manager review.
- Maintain the master grants calendar, including application deadlines, submission dates, award periods, reporting schedules, and renewal dates.
- Coordinate collection of data, attachments, letters, financial documents, and other materials from program and finance teams.
- Prepare and maintain standard organizational background materials, program descriptions, attachments, and proposal support documents.
- Prepare submission packages and perform administrative checks for completeness, formatting, required attachments, and deadlines.
- Maintain organized electronic files for proposals, awards, reports, correspondence, and funder documentation.
- Track awarded grants and post-award documentation; monitor reporting deadlines and alert the Manager and responsible staff in advance.
- Assist with expenditure logs, documentation, and information gathering while deferring financial approval and compliance decisions to appropriate leadership.
2. Donor Stewardship, CRM & Foundation Support (25%)
- Maintain accurate and timely donor, prospect, sponsorship, and grant records in the CRM and related tracking systems.
- Prepare donor acknowledgement letters, mailings, stewardship touchpoints, donor packets, impact materials, and thank-you communications.
- Create and distribute approved donor and event communications through the agency's CRM/email tools.
- Prepare routine donor and Foundation reports and assist with reconciliation of CRM information to financial records provided by Finance.
- Conduct basic donor, sponsor, or prospect research at the direction of the Marketing & Development Manager.
- Coordinate sponsorship fulfillment, pledged contribution follow-up, and delivery or collection of approved materials.
- Request approved donations or sponsorships from community partners as assigned and maintain accurate follow-up records.
3. Events & Community Engagement Coordination (25%)
- Maintain the department's community event and outreach calendar and coordinate registrations, deadlines, and participation details.
- Coordinate event logistics including supplies, promotional items, displays, sign-ins, volunteers, staffing, reminders, setup plans, and follow-up.
- Track and document staff participation in community events, resource meetings, committees, and outreach activities.
- Serve as the primary administrative coordinator for recurring fundraising and community engagement events.
- Represent Pawnee at assigned community events and resource fairs and support attendee engagement.
- Maintain event inventories and coordinate requests for materials with the Marketing Design Specialist.
- Compile participation and follow-up information for Manager review.
4. Employee Assistance Program (EAP) Administrative Support (15%)
- Serve as the initial administrative point of contact for EAP clients, assisting with inquiries, required paperwork, scheduling, and routine communication.
- Prepare monthly utilization reports and approved workplace mental health information or resources for EAP employer clients.
- Coordinate administrative documentation related to EAP onboarding and contract renewals under the direction of the Marketing & Development Manager.
- Maintain organized EAP records and track outstanding administrative items.
- Escalate employer relationship, contract, service, or operational concerns to the Marketing & Development Manager or appropriate clinical/operational leader.
5. Department Administration (5%)
- Schedule meetings, prepare agendas and materials, and document action items as requested.
- Monitor shared departmental inboxes, inquiry forms, calendars, inventories, and routine requests as assigned.
- Support organized departmental workflow by maintaining files, trackers, templates, contact lists, and recurring task schedules.
- Provide administrative support for Client Experience or related engagement materials when assigned.

- Assist with and make policy or process recommendations within the scope of the position.
- Maintain and advance position-specific knowledge and skills through approved training and professional development.
- Work cooperatively with staff across the agency, sharing resources and expertise in pursuit of Pawnee's mission.
- Adhere to Pawnee policies, procedures, the Employee Handbook, the Code of Conduct, and applicable ethical requirements.
- Perform other reasonably related duties as assigned.
Required:
- Associate degree in communications, nonprofit management, business, marketing, or a related field preferred; equivalent relevant experience accepted.
- One to two years of administrative, nonprofit, development, customer service, community engagement, or related experience.
- Strong organization, proofreading, written communication, data-entry, and follow-through skills.
- Ability to manage multiple calendars, deadlines, records, and concurrent tasks with a high degree of accuracy.
- Strong interpersonal skills and ability to communicate professionally with donors, community partners, business clients, and staff.
- Proficiency with spreadsheets, office productivity tools, databases, or CRM systems.
- Ability to work occasional evening or weekend hours for fundraising or community events.
Preferred
- Experience with donor CRM systems such as Bloomerang or similar platforms.
- Experience supporting grants, fundraising, community outreach, events, or employer/client programs.
- Experience in a nonprofit, healthcare, human services, or community mental health environment.
