POSITION SUMMARY:

Under the supervision of the Human Resources Administrator is responsible for performing clerical duties in the daily operations of the Department. This position may include, but not be limited to, the following performance responsibilities, qualifications, knowledge, skills and abilities. Education, Experience, and Licenses/Special Requirements: High school diploma or equivalent Business training and/or three years of administrative assistant/secretarial experience including computer literacy, budget analysis or fiscal management and records maintenance Office experience preferred Special Requirements: Valid First Aid/CPR card Successful Washington State Patrol and Federal Bureau of Investigation fingerprint clearance I-9 employment eligibility in compliance with the Immigrations Reform and Control Act HIV/HBV training (obtain within 60 days of hire date – District provided) Human Resources new hire training (obtain within 60 days of hire date – District provided) Knowledge, Skills and Abilities: Maintain confidentiality regarding student, school, District and/or staff issues, conversations with building administrator and correspondence Ability to interact positively and confidentially with staff, parents and the general public Knowledge of general office procedures, including filing, recordkeeping, accounting, statistics and application of safety procedures related to performance responsibilities Skills in verbal and written communication and ability to maintain good working relations with co-workers, staff, students and community members. Skills using all office equipment Skills in Word, Excel, keyboarding, data entry and other computer programs Personal computer operation and ability to learn and operate a variety of software programs Ability to interact positively, be flexible, organized, problem solve, exercise sound judgment, tact, diplomacy, integrity and maintain professionalism in communicating and working with staff, parents, students and community, while managing time effectively Ability to independently respond to problematic situations and remain calm in stressful situations Ability to exercise sensitivity in dealing with individuals of diverse socio-economic backgrounds, cognitive and physical abilities as well as with individuals of diverse cultural and ethnic backgrounds Ability to provide backup within office personnel positions and collaborate and contribute to a healthy work environment Ability to maintain a consistent presence at assigned work location and fulfill assigned hours Function as an effective member of a team Attend to detail and ensure accuracy of work Position Responsibilities: Screen incoming calls to the Human Resources Department, take messages and redirect inquiries to the appropriate staff person and act as a liaison between the District, the public and employees to be responsive and create a pleasant and positive experience at the Human Resources office. Provide coverage for the District receptionist during breaks and lunch Provide clerical support to the department by opening and distributing daily mail, preparing/gathering requested information and data, compose routine correspondence from general oral instructions, proofread drafts for correct grammar, punctuation and spelling and makes necessary corrections for the purpose of assisting the Human Resources Executive Director perform his/her daily functions Maintain and update the employment portion of the District website; verify accuracy of information, create and post to District website; assist department staff to track applicants for specific openings Oversee applicant online application program; monitor, maintain and update application program; screen applicant documents; communicate with applicants regarding completeness of their application; respond to applicant inquiries regarding on-line application process; via a web-based portal import applications from the on-line program; establish applicant files; print supporting documents to facilitate ease of completing an application; schedule interviews from Administrator’s list of selected applicants; prepare all components for interview packets and test requirements; monitor selected applicant file for completion of all hiring requirements Responsible for preparing interview packets Maintain database for employee Leaves of Absence requests, resignations and retirements; respond to inquiries regarding collective bargaining agreements; ensure documents are completed for School Board approval; prepares School Board Personnel Report; notify employees of School Board action; prepare and distribute documentation for change of employment status; monitor return from leave timeframes and contact employees on leave to determine employment status Prepare job descriptions and corresponding evaluation forms for all employee groups; work with Administrator to verify responsibilities are an accurate description of employees’ duties In collaboration with the Human Resources Administrator, assist university students with various phases of pre-certification, observation requirements, practicum and student teacher placements; coordinate with mentor teachers in order to provide a positive experience as they pursue a degree in Education; coordinate process for employees seeking administrative certification internships and assist them with completing all required District and O.S.P.I. application requirements Responsible for completion of surveys as requested by the department staff Track and confirm retirement eligibility; finalize administrator’s presentation commentary regarding employee; and prepare certificates of merit for each employee to recognize services to District Create and process all department purchase orders, assist Director with department budget Register for and prepare materials, in collaboration with District Communication Director for use at various career fairs in order to recruit qualified applicants Update and maintain the Employee Handbook Perform other duties as assigned Monitor and schedule new employee training in coordination with the Department Administration Adhere to federal and state laws and district regulations, policies, procedures and practices Mandatory reporter for incidents of child abuse, harassment, intimidation, bullying, boundary invasions, fights, substance abuse etc. Abide by employment provisions provided for in the collective bargaining agreement Observe strict confidentiality regarding student information Maintain regular punctual attendance Create, maintain and format current job descriptions, screening forms, and interview questions Administer skills assessments when requested or appropriate Provide fingerprinting services and verify clearance with OSPI Provide employee ID badges as needed

PHYSICAL/MENTAL REQUIREMENTS

The work environment characteristics described are representative of those an employee may encounter while performing the essential functions of this job. Generally, the job requires 80% sitting, 10% walking, and 10% standing. The job is performed under minimal temperature variations, generally hazard free environment, and in a clean atmosphere. The usual and customary methods of performing the functions of this job require the following physical demands: Frequent reaching, handling, and use of hand and finger dexterity Occasional lifting, carrying, pushing and/or pulling Use of a personal computer for extended periods of time Use of a telephone and other office equipment Ability to perceive the nature of sound; near/far visual acuity, depth perception Ability to communicate orally; manual dexterity to operate office machines, gross and fine motor skills Exert 10 to 20 pounds of force on a frequent basis Ability to lift, carry, push, pull or otherwise move objects Sit for extended periods of time, walk, stand Attend off site trainings and workshops as deemed necessary Work is conducted in a shared, open, office environment with consideration toward equipment noise, confidentiality, voice volume Reasonable accommodation may be made to enable a person with a disability to perform the essential functions of the job.

EMPLOYMENT CONDITIONS:

This position is part of Public School Employees, Office Professionals of Monroe. The position will work a schedule of 260 days. Salary and benefits as determined by the current salary schedule. Employee is required to complete all mandatory district trainings by specified deadlines.
