High-Trust Executive Assistant
This is a high-trust, execution-driven role supporting a founder and creative executive across business and personal domains. You will manage the logistics of daily lifecalendar, appointments, travel, errands, vendor oversightso the principal can operate at a strategic level without interruption. The ideal candidate is calm under pressure, emotionally mature, discreet, and takes deep pride in making someone else's life seamless.
Responsibilities
- Manage executive calendar and coordinate appointments with margin
- Book travel (domestic/international), lodging, and ground transport
- Handle personal logistics: shopping, errands, appointments, service calls
- Maintain vendor relationships (cleaners, maintenance, medical, wellness)
- Run household projects (moves, deliveries, furnishing coordination)
- Process and reconcile expenses (track receipts, liaise with bookkeeper)
- Maintain discretion and confidentiality at all times
Requirements
- Fluent in English; Spanish proficiency required
- 5+ years in high-level executive assistant, lifestyle manager, or private household role
- Must be highly self-motivated and discreet
- Comfortable interfacing with high-profile individuals
- Valid driver's license and reliable personal vehicle (mileage reimbursed)
- Ability to work both independently and collaboratively with co-managing family member
- Flexible mindset and can-do attitude
- Strong writing, email, and organizational skills
- Tech-savvy (Google Workspace, Asana/Notion, iPhone, AirTable)
- Problem-solver, anticipator, calm presence
- Local knowledge of San Juan vendors and logistics preferred
