Senior Program Assistant Health Policy Fellowships and Leadership Programs (HPFLP) office at the National Academy of Medicine (NAM) seeks a Senior Program Assistant to support the Robert Wood Johnson Health Policy Fellows Program in Washington, D.C. The incumbent will coordinate complex logistical and administrative aspects of the fellowship program, contribute to communications and content development, and manage the HPFLP team’s database. About the National Academy of Medicine (NAM) The National Academy of Medicine (NAM), established in 1970 as the Institute of Medicine (IOM), is an independent organization of eminent professionals across health, science, and related disciplines. NAM serves as an adviser to the nation and international community, advancing science, informing policy, and catalyzing action to achieve human health, equity, and well‑being. About the Unit The HPFLP office administers highly regarded programs that create learning opportunities for early‑ and mid‑career professionals. These programs expand participants’ knowledge, skills, and networks, and contribute to evidence‑based policy shaping. About the Position Under minimal supervision, the Senior Program Assistant will coordinate online and in‑person meetings, assist with writing, editing, and formatting correspondence, and collaborate with NAM communications on newsletters, presentations, social media, and websites. The role involves extensive interaction with applicants, fellows, alumni, and briefers, and manages a robust program database. The assistant will also support the 3.5‑month health policy orientation each year and participate in state visits, travel arrangements, and event planning. ESSENTIAL JOB DUTIES Perform routine and complex clerical and administrative tasks for program directors, including detailed scheduling, correspondence, calendar management, mailing coordination, meeting notes, follow‑ups, and database updates. Plan and manage events, orientations, forums, workshops, and other meetings; register attendees, resolve issues, prepare materials, coordinate catering and AV support, and maintain attendance records. Support publication efforts by formatting, editing, and proofreading materials, and sending drafts to the deputy director for review. Assist in communication and outreach by developing electronic newsletters, social media content, and website updates; respond to inquiries and disseminate information to fellows, alumni, briefers, sponsors, and other stakeholders. Attend meetings, training classes, and staff development workshops to enhance necessary skills. Nonessential duties may include related duties and special projects as assigned. Job Specifications Required Knowledge, Skills, and Abilities: Proficiency in Microsoft Office Suite (including SharePoint and Teams) and Google apps (Calendar, Drive, Photos, Docs, etc.); ability to plan and support extensive meeting activities; problem‑solving skills with supervisory guidance or procedures; prioritization and flexibility; teamwork; relationship building; effective communication with all stakeholders. Minimum Education/Training Requirements: High school diploma, GED, or equivalent knowledge. Minimum Experience: Four years of related experience in an office environment. Preferred Education: Bachelor’s degree with some experience in an office environment. Preferred Knowledge, Skills, and Abilities: Experience with website management/maintenance, CRM/AR software, and social media platforms. Physical Capabilities: Ability to work at a computer for extended periods and travel. Required Licenses, Certification, or Registration: None. Supervisory Responsibilities/Controls: Reports to Senior Program Officer; supervisor organizes work, sets objectives, and assists with problem resolution. Compensation & Benefits Hourly wage: $23.04 - $28.79, plus potential overtime.
