We’re looking for a Program Operations Manager to help coordinate key medical and scientific events, including Digestive Disease Week (DDW) and the Crohn’s & Colitis Congress. POSITION DESCRIPTION TITLE: Manager, Program Operations REPORTS TO: Director, Program Operations SUMMARY: Responsible for the programmatic development of society events in coordination with the sponsoring societies. Duties and Responsibilities: Program Liaison: Serve as the point of contact between society staff and meeting chairs for Digestive Disease Week (DDW). Handle communication with invited speakers and moderators and manage the speaker headquarters during the event. Program Liaison for the abstract program for the Crohn’s & Colitis Congress. Oversee any abstract awards. CME Processes Oversight: Manage the processes related to Continuing Medical Education (CME), including the transfer of session data, setting up the claim site, and reporting for two events. Session and Speaker Details: Ensure accurate details for sessions and speakers are maintained on the program agenda websites. Marketing Coordination: Work with the Marketing Department to create and update promotional program materials and websites. Program Deadlines: Oversee and manage all deadlines related to the society's program. Logistics Submission: Submit logistics related to the program, such as signage, temporary personnel, specifications, etc. Event Reports and Procedures: Maintain event reports, standard operating procedures, and tutorials related to the program. Customer Service Leadership: Lead the program team's customer service efforts through the online ticket system. New Initiatives and Technology: Research and implement new program initiatives and technological advancements. Program Budget Management: Prepare and manage the budget accounts for the program. Assistance to Directors and VP: Assist the Director of Program Operations, Senior Director of Program Operations, and Vice President of Meetings and Conventions with any necessary phase of event operation or activity. Other Duties: Perform other duties that are consistent with this position as assigned. Qualifications: Prior speaker or volunteer management experience preferred. Ideal candidate will possess 3-5 years of experience in a combination of project and/or volunteer management. Bachelor’s degree or commensurate work experience. Ability to travel 5% per year. Positive "team player" attitude and excellent interpersonal skills required.
