Community Association Manager

Company Description DSI Real Estate Group, LLC is a well-established real estate management company that has been serving Madison, Milwaukee, and the surrounding Wisconsin communities for more than 30 years. DSI provides professional management services for a diverse portfolio of condominium associations, townhome associations, homeowner associations, residential properties, and commercial properties. Role Overview As a Community Association Manager, you will provide professional leadership and operational oversight on behalf of the Association's Board of Directors and DSI Real Estate Group, LLC. Serving as the primary liaison between the Board, homeowners, residents, vendors, and community stakeholders, you will foster effective communication, ensure compliance with governing documents and applicable laws, oversee day-to-day association operations, and help maintain and enhance the overall value and quality of the community. This role requires strong organizational skills, sound judgment, and a commitment to delivering exceptional service to both clients and residents. Responsibilities Responsible for operations and administrative management of assigned communities. Oversee all maintenance and repair activities for the common elements of assigned communities. Develop a calendar for all required maintenance, preventative maintenance, contract expirations, meeting dates, budget deadlines, etc. Manage routine maintenance activities and community improvement projects. Manage capital projects with involvement of third-party consultants as needed. Develop and maintain positive relationships and ongoing communications with vendors and contractors. Maintain community data within CRM software. Develop recommendations and action plans to help achieve Board goals and community objectives. Provide leadership and guidance to address homeowner concerns and support the overall goals of the community. In partnership with the Board, create and implement the annual working budget. Review and approve open payables at least twice per week. Review monthly financial reports and communicate significant variances, trends, or anomalies to the Board of Directors. Monitor delinquencies and proceed with collection efforts based on Board direction for each community. Coordinate with legal counsel regarding collection matters, monitor progress, and provide updates to the Board as necessary. Ensure contracts for tax preparation are in place each year and taxes are filed timely and in accordance with the law. Prepare annual budgets for the Board of Directors review and approval. Manage the budget review and approval process to ensure budgets are finalized and mailed to all homeowners in accordance with state law and company policy. Provide required notice for Board meetings, annual meetings, election meetings, and special meetings. Exercise due diligence to protect association funds, property, and assets from reasonably foreseeable risks and losses. Attend Board of Directors meetings, both virtually and in person, during daytime or evening hours as required by the community and management agreement. P reparation and coordination of Board meetings, including agendas, management reports, and supporting documentation. Following each Board meeting, provide a summary of key priorities and action items, including appropriate follow-up within 48 hours. Work with the Board of Directors to identify preferences and opportunities for improvements on contracted services and implementation of agreed upon services. Deliver exceptional customer service in all interactions with homeowners, vendors, Board members, staff, and colleagues while consistently applying and enforcing community governing documents. Respond to communications from Board members within 24 hours and homeowners within 48 hours. Recommend and implement procedures that ensure compliance with federal, state, and local laws as well as with all community association governing documents and policies. Assess and monitor community needs; identify opportunities to improve service delivery, operational efficiency, and resident satisfaction. Recruit, hire, train, develop, and supervise community staff in accordance with the management plan and company policies. Oversee and support all on-site personnel employed by DSI or the Association. Work closely with local emergency organizations to maintain established emergency and community evacuation plans as appropriate. Conduct regular inspections of buildings, common areas, landscaping, amenities, and building systems to ensure maintenance and repairs are completed timely and in accordance with contract specifications. Obtain competitive bids, prepare bid comparison analyses, oversee contract compliance, and ensure appropriate insurance requirements are maintained for vendors and contractors. Ensure compliance with applicable federal, state, and local laws, including the Wisconsin Condominium Ownership Act, Wisconsin Nonstock Corporations Act, Wisconsin Act 199, and DSI Real Estate Group policies. Mentor and provide guidance to less experienced Community Association Managers and support staff. Qualifications 3-5 years community association management strongly preferred Proficiency in Microsoft Outlook, Word and Excel Basic proficiency in Microsoft PowerPoint Possess exceptional interpersonal skills with the ability to work effectively with diverse personalities while demonstrating professionalism, tact, flexibility, and sound judgment. Possess organizational and administrative skills, such as meeting preparation, documentation, record-keeping, and basic budgeting and financial review. Possess effective communication and interpersonal skills, including clear written and verbal communication, conflict resolution, and a customer-service mindset. Strong planning, organizational, and problem-solving skills, with the ability to prioritize competing responsibilities and effectively manage multiple communities. Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions. Knowledge of budgeting principles and financial management practices, including the ability to monitor expenses and support community financial objectives. Ability to travel locally to communities and board meetings as needed and work both independently and collaboratively.
