Events Manager
Colorado Preservation, Inc. is seeking an Events Manager to fill a critical role within the organization, planning and executing events throughout the year working closely with the Executive Director. Annual events include CPI's three-day Saving Places Conference held in January or February (720+ attendees), the annual two-day On the Road event held in June or September (100+ attendees), and its annual fundraiser the Dana Crawford Awards held in May (300+). The Events Manager leads a committee for each event and has a part-time assistant to help execute the required tasks. Grant recording and management is a required piece of the position with on average 2-3 open grants connected to the conference (preparing project reports, financial tracking, and submitting required deliverables). In addition to the annual events mentioned, CPI hosts member and donor events throughout the year, which is planned by the Events Manager. Additional responsibilities include the Events Manager developing relationships with event attendees, vendors, sponsors and organizational donors and manages event volunteers. Content is required regularly for CPI's monthly newsletters and the organization's annual and year-end giving campaigns. The manager tracks metrics on events and solicits event feedback. The manager must meet predetermined income and expense goals. Budget tracking is critical part of the position.
CPI is looking for strong applicants who have proven organizational and communication skills. Attention to detail is a must along with an ability to multi-task, work independently and an interest in being a part of a small team. Demonstrated work ethic critical as well as a large event management experience. Applicants must be comfortable securing donations and sponsorships as well as manage a large budget. Applicants must be professional, self-motivated, team-oriented and able to work under tight deadlines.
Essential Job Responsibilities:
- Manage and execute all aspects of conference and event logistics to include managing contracts with the venue, facility use coordination, soliciting program content, speaker and session coordination, committee lead & management, sponsor acquisition, event registration, and development of the registration websites. This is done with the assistance of the Executive Director and a part-time assistant. CPI uses CVENT for registration and online conference access. CPI secures AIA and APA Continuing Education Credits.
- Manage & oversee part-time event assistant, event volunteers and support staff
- Cultivate relationships with CPI board members, supporters, sponsors and donors
- Financial management of events and grants
- Provide content and organizational reports for giving campaigns and the newsletter
- Provide prompt and professional support via phone and email.
- Ensure event sponsors and donors receive timely acknowledgements (including tax receipts).
- Secure AIA and APA approval for conference attendees needing continuing education credits.
- Assist with marketing and promotional efforts for upcoming events
- Maintain and update website pages as pertaining to events
- Maintain and submit monthly deliverables and financial records as required by the conference grant
- Attend and present at quarterly board meetings (Friday & Sat in March, June, Sept, Dec)
- Attend organizational events (Conference in Feb, DCA in May, On the Road in June or Sept)
Qualifications:
- Bachelor's Degree in Business/Project Management, Marketing or Communications or related field.
- Minimum 2-years proven event management, event planning, marketing and project management experience – large event management (350+) preferred
- Demonstrated proficiency in task prioritization, and meeting deadlines while maintaining attention to detail and balancing multiple priorities simultaneously
- Ability to establish priorities, work independently, and proceed with limited direct supervision
- Excellent communication skills as the position will represent CPI to our members, donors, supporters, sponsors, vendors and event attendees.
- Excellent organizational and time management skills to handle on-going, revolving deadlines and shifting priorities under time and financial pressures
- Ability to work well with the public and preservation community, exhibiting strong customer service skills
- Strong written, verbal, and presentation skills
- Ability to work as a team member in a highly motivated and collaborative environment
- Experience with CVENT. If no experience, applicant would need to commit to training
- CPI uses the following products, experience not required but a plus: Word, Excel, Dropbox, Jotform, WordPress, Little Green Light, Canva
- Graphic design experience a plus
- Basic knowledge of historic preservation not required for this position, but a passion for, or background in, Colorado history or historic preservation is preferred.
