HOURS: Monday through Friday 8 AM to 4 PM SALARY: $62,000-$73,000* *depending upon previous relevant experience. Actual starting salary will be determined after a review of the work experience provided on the job application and resume.
GENERAL STATEMENT OF DUTIES: The Executive Assistant to the Director of Operations performs direct executive support functions for the TCA Director of Operations (DO). Essential tasks include coordinating executive management oversight for leadership tasks, operations functions, and contracted activities supporting approximately 3,800 students/650 employees from three TCA campuses, seven schools, and a varied and broad list of internal and external customers to achieve the long-term goals and near-term objectives of the Board of Directors and President. Duties include internal operations management tasks to provide direct support to the DO for the planning, organizing, directing, and management of a staff of approximately 39 employees executing an overall TCA operating budget of over $3.64M dollars.
ORGANIZATIONAL RELATIONSHIP: Reports to the Director of Operations and supervises a portion of Operations support staff. - Carries out major assignments of substantial consequence and significance in the operations areas of responsibility and provides feedback to senior management
- Supervises a portion of the TCA Operations office staff and provides feedback on performance
- Provides oversight, guidance, and supports operations providing procedural direction for the five TCA Operations Department staff functions
- Oversees administrative duties to include preparation of staff communications and writing drafts of correspondence (Weekly Staff Updates, letters, thank you notes, etc.)
- Performs work that affects business/school operations to a substantial degree and manages the interrelationships and competing priorities of the impacts across all schools
- Manages $3.64M budget, provides analysis on budget execution, ensures budget account code alignment, coordinates funding program adjustments, and manages Fiscal Year execution with all operations area activities
- Interprets district rules, regulations and procedures
- Implements, maintains, and helps formulate administrative systems and processes for TCA
- Manages the DO's calendar and schedule
- Performs planning long and short term for operations objectives of department activities and evaluates execution against metrics to provide continuous improvement opportunities
- Provides oversight for policies/procedures and operating practices for food service, facility use and courier
- Integrates operational requirements, budget planning, and prioritizes the business practices involving tasks and budgets for three campuses and seven schools
- Prepares and processes reports, creates and maintains various calendars and databases, which require research, computation, and compilation
- Manages external and internal information to Board of Directors, staff, parents, corporate partners, and contracting activities
- Composes, performs, and executes word-process routines for correspondence/reports
- May be required to carry and respond to a school-owned mobile communication device for the purpose of conducting school related business both during and after normal business hours
- Sets up, files, and sorts a variety of documents to include sensitive and confidential information
- Processes purchase orders and requisitions as required
- Circulates the communication of pertinent and essential information throughout all schools and campuses
- Performs other duties as required
- Maintains organized and clean office and work space for staff and visitors
- Bachelor's degree preferred
- Degree in public administration, business administration, management, communications, or human resources preferred
- Experience in leadership or supervisory positions and business or administrative management experience required
- General office experience in an educational setting desirable
- Must be able to type a minimum of 50 words per minute
- Must have a valid driver's license
- Must possess an acceptable driving record
- Strong organizational, team building, and interpersonal skills
- Ability to establish and maintain effective working relationships
- Ability to prepare correspondence on routine matters
- Ability to perform routine office management skills independently
- Ability to maintain accurate filing system and related files
