Alumni Engagement & Annual Giving The Office of Alumni Engagement & Annual Giving fosters lifelong relationships between Georgia State University and its more than 285,000 alumni worldwide by strengthening affinity, deepening connections to the university, and creating meaningful opportunities for engagement, advocacy, volunteerism, and philanthropy. Building upon the legacy of the Georgia State Alumni Association, founded in 1929, the office serves alumni across the lifelong engagement continuum and supports alumni and supporters throughout the donor continuum, creating opportunities to stay connected, informed, involved, and invested in Georgia State's future. Job Summary The Development Associate serves as a key operational and administrative partner to the Associate Vice President for Alumni Engagement & Annual Giving and provides comprehensive support for departmental operations, project coordination, travel logistics, event management, constituent engagement, volunteer leadership initiatives, and annual giving activities. Working collaboratively across University Advancement, campus partners, alumni, donors, volunteers, and external stakeholders, the Development Associate helps ensure the successful execution of alumni engagement programs, fundraising initiatives, donor and alumni experiences, volunteer activities, and strategic departmental priorities. The incumbent must exercise sound judgment, maintain confidentiality, manage multiple priorities simultaneously, and provide exceptional customer service in a dynamic and fast-paced environment. This position serves as a central operational resource for the Office of Alumni Engagement & Annual Giving and provides flexible support across departmental functions, including executive administration, project coordination, event execution, travel management, volunteer engagement, constituent services, and special initiatives. The position may require occasional evening, weekend, and travel-related responsibilities. Job Duties Department Operations, Executive Support, Project Coordination & Financial Administration Provide administrative and operational support to the Associate Vice President and the Office of Alumni Engagement & Annual Giving. Coordinate calendars, meetings, communications, presentations, reports, and departmental documentation. Support budget, purchasing, reimbursement, invoice processing, and other financial administration activities. Coordinate multiple concurrent projects and initiatives, monitor timelines, and ensure completion of key deliverables. Assist with departmental planning, strategic initiatives, and special projects. Serve as a liaison with University Advancement colleagues, campus partners, vendors, and external stakeholders. Identify opportunities to improve processes, workflows, and operational efficiencies that support departmental effectiveness and constituent engagement. Alumni Engagement, Annual Giving & Constituent Support Support the planning and execution of alumni engagement initiatives and annual giving campaigns. Assist with stewardship, donor recognition, constituent communications, and volunteer engagement efforts. Coordinate project timelines, campaign logistics, and engagement activities that support departmental goals. Maintain constituent records and assist with reporting, data management, and tracking engagement and fundraising outcomes. Utilize and support departmental technology platforms and constituent relationship management systems to facilitate engagement, fundraising, reporting, and operational activities. Assist with constituent inquiries and ensure timely, professional, and customer-focused service. Event Planning, Logistics & Constituent Experience Coordinate the planning and execution of alumni, donor, volunteer, and University Advancement events. Manage event logistics including venues, catering, audiovisual support, registrations, transportation, materials, signage, and staffing. Coordinate event communications, attendee management, and guest experiences. Provide on-site support to ensure smooth event operations and successful execution. Assist with event budgeting, reconciliation, and post-event assessment. Ensure responsive, professional, and customer-focused service to alumni, donors, volunteers, campus partners, and external stakeholders. Assist with evaluating the effectiveness of programs and events through data collection, reporting, and outcome assessment. Travel Coordination & Logistics Management Coordinate travel arrangements and logistics for departmental leadership and staff. Manage itineraries, transportation, lodging, registrations, travel authorizations, and expense reporting. Support travel related to alumni engagement, donor cultivation, conferences, regional outreach activities, and strategic departmental initiatives. Prepare travel schedules, logistical materials, and supporting documentation. Assist with monitoring travel expenditures and maintaining accurate records. Ensure compliance with university travel policies and procedures. Volunteer Leadership & Board Relations Support the Alumni Association Board and other volunteer leadership groups. Coordinate meeting logistics, communications, agendas, minutes, and supporting materials. Maintain volunteer and board records, governance documentation, rosters, and engagement activities. Assist with volunteer recruitment, onboarding, recognition, and relationship management efforts. Support leadership in fostering meaningful volunteer engagement and participation. Other Responsibilities Serve as a collaborative and accountable member of the University Advancement team. Support special projects, strategic initiatives, and emerging departmental priorities. Participate in division-wide and university-wide initiatives as assigned. Assist with evening, weekend, and occasional travel-related responsibilities as needed. Contribute to continuous improvement efforts that enhance operational effectiveness, constituent satisfaction, and team collaboration. Uphold the highest standards of professionalism, confidentiality, customer service, and ethical conduct. Perform other related duties as assigned.
