Adminstrative Assistant

Position Summary

Alvarez Technology Group is seeking a detail-oriented and organized Administrative Assistant to support daily office operations while providing light bookkeeping assistance. This position requires strong administrative, communication, and organizational skills, along with experience using QuickBooks. The ideal candidate is dependable, professional, and able to manage multiple priorities with accuracy and efficiency.
Key Responsibilities

• Provide general administrative support, including scheduling appointments, and managing correspondence.
• Assist with data entry, document preparation, and office organization.
• Perform light bookkeeping in QuickBooks: Assist with accounts payable and receivable, and general expense reimbursements.
• Order and manage office supplies and coordinate general office needs.
• Leverage Microsoft Copilot and other approved AI tools to improve productivity, assist with document creation, summarize information, draft communications, organize data, and support administrative workflows.
• Identify opportunities to streamline administrative processes through the effective and responsible use of AI-powered tools and automation.
• Support management with special projects and other administrative duties as assigned.

Qualifications

• Minimum of 2 years of administrative or office support experience.
• QuickBooks experience is required.
• Strong computer skills with the ability to learn to use new software applications.
• Proficiency with Microsoft Office 365 applications, including Outlook, Word, and Excel.
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication skills.
• Ability to handle confidential information with discretion.
• Ability to multitask and keep multiple projects on track as directed by management.
• Experience with bookkeeping, accounting support, or financial recordkeeping is preferred.
• Experience with Artificial Intelligence (AI) chatbots desired and an interest in learning more about the use of AI for work is required.

Position Type

Hourly, Non-Exempt, Full Time. $20-$26 hourly DOE. Medical, Dental, Vision, Life Insurance, 401k 4% Matching, 14 days PTO & some holidays. Training available.
