I. JOB OVERVIEW

For over 32 years, the Office of International Medicine Programs ( IMP ) at the George Washington University (GW) School of Medicine and Health Sciences ( SMHS ) has cultivated global partnerships to create transformational mutual exchange in medical education, training, and research. IMP’s goal is to provide life changing opportunities to build the capacity of other countries and share the latest advances in medicine and healthcare. As a pioneer in international medical education, training, and research, IMP has developed, coordinated, and completed over 150 projects in more than 50 countries, touching the lives of 15,000+ healthcare professionals, students, and patients around the globe. The main purpose of this position is to provide administrative, management, and project tracking support for a project acquired by the Office of International Programs in partnership with Ibn Sina University for Medical Sciences ( ISUMS ) Faculty of Medicine in Jordan. The position also serves as the primary liaison among all parties involved in the project, ensuring effective communication, coordination, and successful project implementation. Administration Maintain a detailed tracking sheet with all project activities including webinars, lectures, workshops, site visits, meetings, and correspondence between GW, ISUMS , and UTSA . Coordinate special events including webinars for students and faculty, site visits, and medical conferences. Coordinate international travel logistics including obtaining traveler visas, preparing agendas, reserving airfare, scheduling meetings, coordinating hotel reservations and car pickup, preparing travel folders and gifts, processing expense reports, collecting post-travel evaluations, and trip report writing. Manage the calendar for biweekly leadership meetings. Annual calendars are created at the start of each calendar year in coordination with leadership from GW, ISUMS , UTSA . Provide administrative support as needed to UTSA who provide academic support to ISUMS Faculty of Dentistry. This includes tech, logistic, and scheduling support in addition to administrative support when UTSA leadership travel to ISUMS . Host all virtual activities for ISUMS provided by GW or UTSA . This includes recording all meetings, managing the Zoom room, answering questions, and supporting the presenters as needed. Communication Serve as the communication liaison between GW, ISUMS , and UTSA . Write progress reports and newsletters on project updates. Reports are created on an annual basis and are distributed to GW, ISUMS , and UTSA leadership. Newsletter articles are created biennially and are shared with GW stakeholders, IMP program participants and alumni. Manage and facilitate biweekly leadership meetings with GW, UTSA , and ISUMS leadership. Record detailed meeting minutes and action items for all meetings related to ISUMS and project activities. Track all action items and complete or delegate tasks as needed. Create Zoom links, flyers, learning objectives, evaluation forms, and data reports for webinars hosted by GW. Management Assist with recruiting external GW stakeholders on ISUMS project to provide student or faculty webinars, USMLE prep, and residency advising. Ensure compliance with reporting requirements and maintain documentation of all evaluation activities. Create and maintain background document on the project for general use. Support the Associate Program Director with finance tasks, including tracking and processing payments for all project activities and expense reporting. Maintain and update any legal agreements for the project. Maintain deep understanding of Jordanian medical education system. Monitoring, Evaluation, and Assessment of Academic Programs Track project activities to ensure webinars, workshops, and training programs are delivered on time and meet project goals. Monitor participant registration, attendance, engagement, and completion rates. Develop and administer evaluation tools, including surveys, feedback forms, and pre-/post-assessments. Collect, organize, and maintain program data and records. Analyze participant feedback and learning outcomes to assess program effectiveness. Measure progress toward project objectives and key performance indicators (KPIs). Prepare reports summarizing participation, outcomes, successes, challenges, and recommendations. Identify areas for improvement and support continuous quality enhancement of academic activities. Share findings with project leadership, faculty, and stakeholders to inform decision-making. IMP General Responsibilities Maintain IMP’s statistics, participants, partner, activities, alumni, and contact list databases. Prepare IMP’s annual report and other reports and memos for GW stakeholders. Oversee daily office operations and monitor supplies, equipment, facilities, space, and technology. Lead IMP marketing efforts by maintaining IMP website, managing IMP Instagram and Facebook accounts, and creating biannual newsletters. Process expense reports for all IMP office staff. Coordinate IMP events such as anniversaries, annual dinners, and delegation visits. Facilitate adjunct faculty appointment process for international IMP faculty. Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. Minimum Qualifications Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
