About the Role: This role is designed for someone who wants to build a long-term career in financial planning and wealth management. You will start by mastering the operational foundation of a growing RIA, gaining hands-on exposure to client service, custodial platforms, and financial planning workflows from day one. As you develop, you will progress toward greater client-facing and planning responsibilities, with firm support for your Series 65 licensure and CFP education once certain parameters are met. In a small firm, your contributions are visible, your learning curve is steep in the best way, and your path forward is real.
Reporting directly to the Client Service Manager, this person will handle the time-sensitive tasks that keep our practice running smoothly while building the knowledge base that defines a career in this industry.
Compensation & Benefits: Salary: $45,000 – $60,000, dependent on experience and skills. Additional benefits include paid time off, health, vision, and dental insurance, 401(k) plan, and optional group plans including a Health Savings Account (HSA), Flexible Savings Account (FSA), and more.
Key Responsibilities
Client Service
- Assist with client onboarding, including account opening paperwork and documentation
- Assist the paraplanner and advisors with meeting preparation materials as needed
- Respond to routine client inquiries regarding account information, statements, and service requests
- Answer and route incoming phone calls; serve as a warm, professional first point of contact for clients
- Schedule client meetings and coordinate calendar logistics for advisors
- Communicate with custodians on behalf of clients to process service requests
Operations & Administration
- Process money movements including deposits, transfers, and distributions
- Deposit checks and maintain accurate records of incoming assets
- Upload, file, and organize client documents in the firm's document management and CRM systems
- Prepare and distribute client account statements and reports
- Maintain and update client data in CRM; ensure records are current and accurate
- Support quarter-end and year-end administrative workflows
- Assist with compliance-related filing and recordkeeping
Team Support
- Provide general administrative support to advisors and the Client Service Manager
- Identify opportunities to improve day-to-day processes and workflows
What We're Looking For
Required
- Bachelor's degree (Finance, Business, Communications, or related field preferred)
- Exceptional attention to detail and organizational skills — you catch the things others miss
- Strong written and verbal communication skills; comfortable and personable on the phone
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to manage multiple tasks and prioritize in a fast-paced environment
- A team-first attitude and genuine desire to serve clients well
Preferred (Not Required)
- Prior experience at an RIA, broker-dealer, bank, or other financial services firm
- Familiarity with custodial platforms (e.g., Schwab, Fidelity, Altruist)
- Experience with CRM software (Wealthbox)
