Special Events CoordinatorWe are looking for a high-performing Special Events Coordinator to help us and assist our sales department to meet our customer acquisition and revenue growth targets by keeping our company competitive and innovative. The ideal candidate is a motivated, well-organized and a personable individual. The qualified candidate will have previous food & beverage Sales and Special Events Experience.Overall Job Description: A successful Special Events Assistant must be able to communicate effectively with customers. This position requires extensive knowledge of hospitality and customer satisfaction. It also requires that you are able to inspire and motivate the team. In addition, this position requires heavy lifting, walking, and standing for many hours. This individual must also thrive in a fast paced ever changing environment. This position works closely with the Sales Department, Kitchen and Banquet Staff. It is also a necessity to prepare for all banquet events to ensure all guest expectations are met and ultimately exceeded. This individual is in charge of addressing and answering any questions and fixing issues or concerns that may arise during an event. Special Events Assistant must oversee and assist all set-up details for all events and making sure that the tables are laid out and decorated properly according to floor plans and the Guests wishes. This position must assist in the entry of BEOs in Caterease and in entering any inquiries, provided by the Sales Department, into the inquiry database. This position should be available to assist all other managers wherever necessary. Responsible for the supervision of the set-up crew. To oversee and confirm that all details in regards to set-up for an event are completed before checking out the set-up crew (chair counts, seat cushions, table clothes are straight, clean, and wrinkle free, etc.). Will check out cleaner and confirm cleanliness of the castle and its assets. This includes reporting any broken/damaged items and to ensure the replacement of any burnt out lightbulbs. Responsible for the Bridal Party and any VIP/hosts during a wedding/event. Responsible for the proper storage and organization of any AV equipment (microphones, easels, etc) at the conclusion of an event. Responsible for overseeing any outside vendors and to coordinate set-up and pick-up times and to ensure that the times do not interfere with another event. Must relay set-up and pick-up times to appropriate members of the management team. To assist in the development of and perform in the positive execution of holidays and special events. Responsible for the data entry of all BEOs in Caterease. To be an ambassador of the Stokesay Castle service culture and overseeing initiatives. To accept responsibility for the security of the building and its physical assets. To direct life/safety procedures if and when necessary. High level of detail orientation Successful previous experience as a Special Events Coordinator, is a must.
