Accounting CoordinatorAltaPointe Health Systems is a comprehensive behavioral healthcare and psychiatric hospital system. Our continuum of care includes two psychiatric hospitals, multiple behavioral health, and primary care outpatient locations, and residential services. The Accounting Coordinator position will have an emphasis on supporting the housing team with business and accounting needs. The position is responsible for overseeing the day to day and month-end accounting duties for Adult Residential Services and Adult Community Services housing activities, as well as maintaining compliance with audits by housing funding agencies, such as Housing and Urban Development (HUD), Housing First, Alabama Housing Finance Authority (AHFA), and Alabama Department of Mental Health (ADMH).ResponsibilitiesHousingWork in tandem with the Housing Specialist to manage day-to-day housing activities.Prepare and process monthly rent payments to apartment complexes.Manage all corporate lease agreements & process renewals as necessary.Calculate income-based rent and prepare all related documentation.Maintain accurate, organized, and compliant tenant files.Work with the Housing Specialist to convert vacant units to move-in ready status.Maintain program compliance with housing funding agencies.Ensure all databases remain up to date with accurate lease dates, vacancy status, and rent amounts.Coordinate vendor activities related to apartment maintenance, cleaning, or repairs.Prepare and send out program specific notifications such as rent increases, inspections, certifications, etc.Regularly audit program and tenant files to ensure accurate record keeping and documentation.Print all mandatory EIV reports monthly.Maintain and update HUD and EIV policies and procedures.Draft and manage SOPs for housing activities.Work with the Housing Specialist to maintain shared e-mail addresses related to housing.Attend conferences and classes to maintain knowledge and to learn new rules and regulations.Collaborate with internal teams to support program goals and continuous improvement.Other housing duties as assigned.Other DutiesAssist with bank reconciliations.Prepare worksheets and lead schedules supporting entries to ledgers and journals.Prepare journal entries to accurately reflect transactions in the original books of entry.Assist in the preparation of checks and deposits.Other accounting duties as assigned.Courteous and respectful towards consumers, visitors and co-workers:Treat consumers, visitors and co-workers with care, dignity and compassionRespect consumers' privacy and confidentialityIs pleasant and cooperative with othersAssist consumers, visitors and co-workers as neededPersonal values don't inhibit ability to relate and care for othersIs sensitive to the consumer's needs, expectations and individual differencesIs gentle and calm with consumers, families and others as appropriateAdministrative and Other Related Duties as assignedActively participate in Performance Improvement activitiesActively participate in AHS committees as requestedDocument how-to instructions of job dutiesAssist with paperless initiative by organizing and maintaining electronic filesComplete assigned tasks accurately and in a timely mannerFollow AHS policies and proceduresReceive and respond to inquiries of billing matters promptly and courteouslyPerform financial analysis as neededAssist with performance of duties of other staff in periods of absencePerform other duties as assignedSupervision and ConsultationSeek supervision and consultation as neededAccept and employ directives for improvementActively work to enhance skillsQualificationsBachelor's degree in Accounting or Business; two years of accounting experience preferred. Applicant should have advanced knowledge of Microsoft Excel and the ability to process and analyze large volumes of electronic data or handwritten data. Proficient with computer applications including Microsoft Office, Outlook and Electronic Health Record systems. Has the ability to work independently with minimum supervision and excellent problem-solving skills with attention to detail. Working knowledge of HUD rules and regulations is a plus. Knowledge of HIPAA and relative compliance is a plus.
