Overview The Purchasing Coordinator provides administrative and purchasing support for construction, manufacturing, special projects, and other operational teams. Responsibilities include purchase-order entry, supplier follow-up, subcontract administration, order tracking, reporting, and document control. The ideal candidate will have experience in construction, mechanical contracting, manufacturing, logistics, purchasing, or another project-based environment. Direct purchasing experience is helpful but not required. Strong organization, attention to detail, follow-through, and the ability to learn established processes are essential.

Responsibilities Review purchasing and subcontract requests for completeness and follow up on missing information. Prepare documents using approved templates and coordinate vendor reviews, signatures, approvals, revisions, and change orders. Enter approved purchase orders, releases, acknowledgements, confirmations, and supplier information into designated systems. Track supplier orders, promised ship dates, backorders, shipments, deliveries, material usage, and open items. Follow up with suppliers regarding missing documents, delivery updates, submittals, and order status. Maintain accurate purchasing project files, including quotes, purchase orders, delivery records, correspondence, subcontract documents, insurance certificates, and supporting records. Support construction, manufacturing, third-party welding, special projects, and other operational material needs. Assist with supplier setup, compliance documentation, purchase-order research, invoice questions, and discrepancy resolution. Prepare recurring purchasing reports, reconcile information, maintain tracking logs, and follow up on missing data. Maintain purchasing checklists, templates, work instructions, and shared reference files. Provide general administrative support to Purchasing leadership, including meeting coordination, scheduling, communications, and meeting materials. Escalate delays, shortages, substitutions, pricing or quantity changes, damaged shipments, compliance concerns, and other issues requiring purchasing judgment.

Qualifications High school diploma or equivalent required. An associate degree in business, supply chain, accounting, construction administration, or a related field is preferred. At least two years of experience in administration, coordination, document control, project support, customer service, operations support, logistics, or a related field. Experience in construction, mechanical contracting, industrial services, manufacturing, logistics, or another project-based environment is strongly preferred. Strong organizational skills and the ability to manage multiple priorities. Excellent written and verbal communication skills. Strong attention to detail, accuracy, responsiveness, and follow-through. Proficiency with Microsoft Office, spreadsheets, reporting tools, and business systems.

Preferred Experience Purchasing, contracts, construction administration, project coordination, accounts payable, logistics, supplier coordination, or document-control experience. Experience with purchase orders, order tracking, supplier follow-up, recurring reports, document reviews, electronic signatures, or controlled records.
