ABOUT THE ROLE

SB Events Co. is seeking an experienced, part-time Lead Event Planner to manage and execute weddings alongside our growing boutique planning firm.

This position is responsible for managing a portfolio of full-service weddings from initial client onboarding through event execution and post-event closeout. The Lead Event Planner will serve as the primary point of contact and trusted advisor for assigned clients while collaborating closely with venues, vendors, production partners, and our internal planning team.

This role will also work with company leadership to strengthen vendor relationships, improve internal processes, mentor junior team members, and consistently deliver an exceptional client experience.

RESPONSIBILITIES

• Serve as the primary planner and trusted advisor for assigned clients throughout the planning process.

• Lead client meetings and guide couples through design, logistics, budgeting, vendor selection, and event-related decisions.

• Develop and maintain comprehensive planning timelines, production schedules, floor plans, run-of-show documents, and event logistics.

• Coordinate with venues, vendors, and production partners to ensure all event requirements are clearly communicated and successfully executed.

• Manage multiple weddings and events simultaneously while ensuring deadlines and client deliverables are met.

• Lead multi-day wedding weekends and oversee all aspects of on-site event production, from setup through breakdown.

• Anticipate and resolve logistical challenges while maintaining a seamless experience for clients and their guests.

• Review vendor proposals and contracts, track budgets, and help clients make informed financial and logistical decisions.

• Collaborate with the CEO and leadership team on client strategy and operational initiatives.

• Lead event coordinators by providing clear direction and support throughout the planning and execution process.

• Delegate responsibilities effectively and hold assigned team members accountable for their deliverables.

• Identify opportunities to strengthen planning workflows, internal systems, and the overall client experience.

MINIMUM QUALIFICATIONS

• Bachelor’s degree or equivalent professional experience preferred.

• At least 1 year of professional event planning experience.

• Strong organizational skills with the ability to prioritize competing deadlines and manage multiple clients simultaneously.

• Excellent written and verbal communication, interpersonal, and relationship-building skills.

• Strong attention to detail and the ability to maintain accurate planning documents.

• Ability to work independently while collaborating effectively within a team environment.

• Ability to take ownership, make sound decisions, and follow through without requiring constant oversight.

PREFERRED QUALIFICATIONS

• Experience planning multi-day weddings.

• Experience using project management and client relationship platforms such as Asana, HoneyBook, or similar systems.

• Strong understanding of vendor management, contract review, budgeting, production, and event logistics.

• Demonstrated ability to remain calm and make sound decisions in fast-paced, high-pressure environments.

• Fluency in English is required. Bilingual proficiency in Hindi, Gujarati, or Spanish is a plus.

• Willingness and ability to travel domestically and internationally for destination events.

• Availability to work evenings, weekends, and holidays as required by client meetings and event schedules.
