Medical Office Specialist - Family Practice - Physician Practice

The Medical Office Specialist performs a variety of secretarial and administrative duties for the outpatient medical office related to the organization and management of the department. The Medical Office Specialist is responsible for all front desk functions in the ambulatory setting and provides optimal support to the team, ensuring patients receive the best care, satisfaction, and experience during check‑in, scheduling, registration, and check‑out, as well as post‑visit support. Responsibilities Promote patient satisfaction by providing excellent service through friendly and helpful interactions with patients and visitors. Manage patient check‑in/check‑out process, including obtaining and verifying required demographic information, collecting copayments, verifying insurance eligibility, ensuring appropriate referrals, and completing necessary paperwork. Accurately enter patient demographic information into the EMR and, when required, download specific health data into the EMR. Assist patients with e‑check‑in, iPad use, kiosks, and other technology as needed. Monitor and address all steps in the EMR to support the practice, including scheduling, cancellations, reconciliation of registration errors, and referral information. Receive and direct all communication (EMR, phone, email, RightFax, etc.) courteously and consistently, resolving routine matters independently and escalating others promptly. Review and distribute daily mail correspondence to appropriate staff and prepare documents as necessary. Maintain patient confidentiality at all times. Prioritize tasks and follow up with peers to ensure all tasks are completed, delivering high‑quality patient care. Provide procedure preparation and instructions to patients as needed. Reconcile all forms of payment for accurate daily bank deposits and sign and date daily cash/payment receipts. Manage overall front‑end needs and elevate issues to the Practice Manager or designee, such as low office supply inventory or peripheral equipment needs. Travel may be required to provide coverage at other locations. Perform other duties and/or projects as assigned. Adhere to HMH Organizational competencies and standards of behavior. Required Qualifications High school diploma, GED, or equivalent experience. 1+ year experience working with the public in a customer‑service setting. Ability to manage multiple tasks in a fast‑paced environment while maintaining a professional and confident demeanor in stressful situations. Ability to navigate competing priorities and manage time efficiently. Ability to travel to various locations. Reliable transportation. Proficient computer skills, including Microsoft Office and/or Google Suite. Excellent written and verbal communication skills. Preferred Qualifications Associate’s degree. Minimum of 1 year related work experience in a physician practice or hospital setting. EMR/EHR experience. Prior clerical training or knowledge. The final compensation may vary based on market data, experience, education, skills, geographic location, internal equity, budget, and grant funding. In addition to compensation for full‑time and part‑time positions (20+ hours per week), HMH offers a comprehensive benefits package, including health, dental, vision, paid leave, tuition reimbursement, and retirement benefits.
