Acceptance Testing Controls Analyst

Job Description Summary The Acceptance Testing Controls Analyst supports the strategic leadership, operational governance, reporting structure, and document control for the Acceptance Testing Department. The role focuses heavily on acceptance testing documentation, administration, reporting oversight, process standardization, and cross‑functional coordination to ensure accurate project records, timely deliverables, and operational consistency across multiple projects. Responsibilities and Duties Own and maintain Acceptance Testing documentation and workflows from project startup through turnover and closeout. Compile, review, format, distribute, and archive commissioning reports, testing packages, turnover documentation, and field reporting deliverables. Ensure all project documentation is accurate, complete, properly formatted, and submitted in accordance with internal standards and client requirements. Track documentation status, deliverables, approvals, revisions, and reporting deadlines across multiple active projects. Coordinate with field teams, project management, engineering, QA/QC, and clients to collect missing documentation and resolve reporting discrepancies. Maintain electronic filing systems, databases, logs, trackers, and shared project records for Acceptance Testing activities. Assist with development, implementation, and continuous improvement of document control procedures and reporting processes. Support creation and standardization of templates, reporting tools, trackers, and departmental workflows. Generate weekly, monthly, and adhoc reports related to project progress, testing status, manpower tracking, turnover metrics, and departmental KPIs. Support data collection, validation, and reporting for commissioning milestones, deficiencies, punch lists, and completion status. Maintain document revision control and ensure current versions are properly distributed to project teams. Coordinate project closeout documentation and final turnover packages to clients and internal stakeholders. Assist the Director of Acceptance Testing with preparation of presentations, executive summaries, dashboards, and operational reporting packages. Ensure compliance with company policies, document retention standards, and client contractual reporting requirements. Maintain a professional demeanor when interacting with employees, clients, subcontractors, and stakeholders. Support SOP development, rollout, training coordination, and change management initiatives. Draft, edit, proofread, and distribute correspondence, reports, procedures, meeting minutes, and departmental communications. Foster a culture of accountability, collaboration, organization, and continuous improvement. Serve as a liaison between departments, field teams, vendors, and external partners. Coordinate meetings, conference calls, agendas, action items, and follow‑up communication. Coordinate field office trailers, rentals, equipment requests, and department logistics. Manage tool requests, inventory tracking, new hire setup, onboarding coordination, and PPE distribution. Create shipping labels, schedule pickups, and track incoming and outgoing packages and equipment. Assist with department accounting support, including invoice coordination, coding, expense tracking, and vendor communication. Manage company‑issued credit card reconciliation and expense reporting in a timely manner. Organize department events, training sessions, meetings, and vendor‑related activities. Maintain confidentiality of sensitive company, project, and personnel information. Perform additional administrative and operational support duties as assigned. Minimum Skills or Experience Requirements High school diploma or GED required; associate or bachelor’s degree in Business Administration, Construction Management, Project Management, or related field preferred. 3+ years of administrative, project coordination, document control, or reporting experience required. Experience in construction, renewable energy, industrial, commissioning, or engineering environments preferred. Strong understanding of document control procedures, reporting workflows, and administrative processes. Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and SharePoint. Experience with project management systems, reporting software, or ERP platforms is a plus. Excellent organizational skills with the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills with professional email and phone etiquette. Ability to work independently and collaboratively in a team environment. Reliable, adaptable, detail‑oriented, and capable of handling confidential information. Preferred Skills Strong attention to detail and document accuracy. Ability to analyze and organize large amounts of project data and reporting information. Experience coordinating reporting across multiple projects simultaneously. Knowledge of commissioning, acceptance testing, or construction project workflows. Strong problem‑solving and process improvement mindset. Ability to prioritize workload in a fast‑paced environment.
