What this job involves:
As a Facility Services Coordinator at JLL, you'll be an essential part of our Integrated Facility Management team, ensuring seamless, client-focused service delivery that keeps operations running smoothly. This role combines hands-on operational support with relationship management, from coordinating mail services and managing vendor performance to supporting special events and resolving facility challenges with creativity and professionalism. You'll serve as a trusted point of contact for clients, employees, visitors, and service providers, building strong collaborative relationships that drive exceptional outcomes. What your day-to-day will look like:
Provide exceptional customer service by cultivating positive relationships with clients, JLL teams, tenants, and service providers while supporting guests, visitors, and employees at client locations
Manage daily mail operations including opening, sorting, and distributing incoming mail, collecting outgoing mail, and maintaining accurate electronic logs and files
Coordinate and support building services across janitorial, food service, landscaping, parking, vending, badging, conference rooms, fitness centers, and facility furnishings and equipment
Receive and dispatch work requests to technical staff and vendors, maintain accountability for deliverables, and track completion to ensure timely resolution
Manage vendor performance by tracking work order completion, validating invoices, communicating unresolved items, and partnering with vendors to implement resolution plans
Support operational audits by maintaining accurate records, assist with site inspections, and demonstrate understanding of performance metrics and Key Performance Indicators (KPIs)
Coordinate special events, assist with tactical planning to meet account team goals, and continuously seek opportunities to improve processes and enhance overall client satisfaction
Required qualifications:
High school diploma or GED required
2+ years of experience in facility coordination, property management, customer service, or related operational support role
Excellent customer service skills with ability to maintain professionalism under stressful situations and resolve spontaneous challenges with creativity
Strong organizational skills with proven ability to plan and manage work under time constraints and multitask without direct supervision
Proficiency in Microsoft Office Suite with strong written, verbal, and interpersonal communication skills
Demonstrated ability to build and maintain positive working relationships across diverse stakeholder groups
Strong presentation and collaborative skills with solution-oriented mindset
Preferred qualifications:
Previous experience in facility management, property services, or integrated facility management environments
Knowledge of Service Level Agreements (SLAs), Key Performance Indicators (KPIs), and client satisfaction measurement
Familiarity with building services operations including janitorial, landscaping, parking, and facility amenities management
Experience coordinating with engineering or technical teams on maintenance activities and service delivery
Understanding of vendor management processes including invoice validation and performance tracking
Schedule: M-F 7:30AM- 4:30PM
Location: Santa Clara CA

Estimated compensation for this position:
59,400.00 71,100.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
