MedSpa Appointment Setter

**BeautiLab Aesthetics** is seeking a high-performing, experienced MedSpa Appointment Setter / Patient Coordinator to manage our inbound leads and execute aggressive, organized outbound follow-up.

This is not a basic customer service position. We are looking for someone who understands that every qualified inquiry is a potential booked appointment and knows how to professionally move prospective patients from** inquiry → conversation → consultation/treatment appointment.**

**BeautiLab Aesthetics is a medical aesthetics practice located in Woodbridge, VA**, offering services including:

* Botox and other injectable treatments
* Lip and dermal fillers
* Laser hair removal
* Laser tattoo removal
* Laser facial and skin treatments
* IV therapy
* Vitamin injections
* Aesthetic consultations
* Additional medical aesthetic and wellness services

**Inbound Lead Conversion**

* Answer and handle incoming calls professionally and promptly.
* Convert qualified inbound inquiries into scheduled appointments at a high conversion rate.
* Respond to prospective patients with confidence, warmth, urgency, and professionalism.
* Identify the patient's primary goals and recommend the appropriate consultation or appointment.
* Overcome common objections involving price, timing, uncertainty, scheduling, and treatment concerns.
* Minimize leads ending a call with "I'll think about it" without establishing a clear next step.
* Properly document every conversation and follow-up requirement.

**Outbound Follow-Up**

* Make daily outbound calls to new leads who have not yet booked.
* Re-engage older leads and previous inquiries.
* Follow up with missed calls, unresponsive leads, consultation inquiries, and patients who did not initially schedule.
* Consistently work the lead database rather than waiting for inbound calls.
* Use multiple follow-up attempts when appropriate while maintaining professional communication and call ethics.
* Maintain detailed notes so every lead has a defined status and next action.
