Portfolio Tools & Automation Analyst

Team: Portfolio Management

Role Overview

We are seeking a Portfolio Tools & Automation Analyst to support the Portfolio Management team across project reporting, portfolio tools, access management, Jira/Confluence administration, and process automation.

The ideal candidate will collaborate with multiple project teams across the organization. The individual will provide day-to-day portfolio operational support while also identifying opportunities to automate recurring activities, improve reporting, and streamline project and resource management processes.

Key Responsibilities

Portfolio Management & Reporting

• Provide portfolio management support across multiple project teams.

• Create and maintain Jira dashboards based on project and portfolio reporting requirements.

• Prepare and publish weekly portfolio reports covering CCB, CXD, access management and other portfolio activities.

• Generate daily operational reports , including AUC, Henren, CCB, Risks & Issues and related ticket/status reporting.

• Support ad-hoc reporting and analysis requirements for project teams and Portfolio Management leadership.

• Maintain and organize Portfolio Management Teams channels and Confluence spaces/pages .

Access Management

• Coordinate access provisioning and administration across projects and project teams.

• Support Stargate access setup and configuration .

• Manage user access for Microsoft Teams, Jira and Confluence .

• Coordinate access setup for other engineering and delivery tools including Bento, Artifactory, GitLab/GitHub and related platforms.

• Work with the appropriate TMC teams to resolve access requests, dependencies and escalations.

• Troubleshoot user access and configuration issues and coordinate them through resolution.

• Maintain visibility and reporting of outstanding access requests and issues.

Automation & Tool Development

• Design and develop automation solutions to reduce manual portfolio and project-management activities.

• Develop tools and utilities supporting CCB and CXD portfolio operations .

• Automate recurring report generation and data consolidation activities, including Excel Macro-based reporting .

• Develop and enhance scheduling and integration utilities.

• Support development and enhancement of internal tools such as:

• Schedule Integration Tool

• CXD Generator Tool

• CXD Resource Capacity Planner

• Identify additional opportunities for automation across reporting, access management and portfolio processes.

Jira & Confluence Administration

• Support Jira configuration and customization based on project and portfolio requirements.

• Create and maintain Jira dashboards, filters, workflows and reporting views.

• Customize and maintain Confluence pages and spaces .

• Support user administration and access management for Jira and Confluence.

• Assist project teams with Jira/Confluence usage, configuration and troubleshooting.

Required Skills & Experience

• Experience supporting Portfolio Management, PMO, Project Management or technology delivery teams .

• Strong hands-on experience with Jira and Confluence , including dashboards, configuration, customization and user/access administration.

• Experience developing operational and management reports using Excel , including macros and automation.

• Experience with scripting, automation or internal tool development.

• Understanding of software delivery and engineering tools such as GitHub/GitLab, Artifactory and related platforms.

• Experience managing user access and coordinating access provisioning across multiple systems.

• Strong analytical and troubleshooting skills.

• Ability to work across multiple project teams and coordinate with technical, business and platform stakeholders.

• Strong written and verbal communication skills with the ability to independently manage recurring portfolio activities.

Preferred Skills

• Experience with VBA/Excel Macros, scripting or other automation technologies .

• Experience developing lightweight productivity or portfolio-management tools.

• Experience with resource capacity planning, project scheduling and portfolio reporting.

• Familiarity with Agile/software development environments and CCB/change-management processes.

• Experience working within a large enterprise technology organization.

Role Success Measures

Success in this role will be measured through timely and accurate portfolio reporting, effective Jira/Confluence and access-management support, reduction of manual effort through automation, timely resolution of access issues, and continuous improvement of portfolio-management processes and tools.
