Oncology Scheduling Coordinator - Cancer Center Position Summary: At Stony Brook Medicine, the Oncology Scheduling Coordinator in the Cancer Center functions in a role encompassing coordination of complex cancer patient visits, treatments and procedures, discharges, under the direction of the Senior Manager of Operations. Responsibilities Coordinates high volume, high patient acuity discharges, including complex, interdependent scheduling of multiple appointments across multi‑specialties for procedures, treatments, diagnostics and MD visits for cancer patients. Coordinates hospital, ambulatory multi‑day treatments, pre and post treatment diagnostics and lab tests to align with inpatient or outpatient treatments and visits. Educates patients on necessary instructions for tests, order of sequential and parallel appointments across the cancer continuum, including coordinating care across surgical, medical and other oncology specialties. Manages frequent rescheduling and re‑coordination due to changes in treatment plans caused by patient side effects or treatment breaks. Ensures patient appointments, treatments and tests do not fall through the cracks. Ensures patient compliance with appointments and tests to maintain continuous treatment. Identifies and facilitates patients with financial needs to the Financial Navigation team. Discharges patients and schedules follow‑up clinic appointments in Cerner/EWS and outside testing appointments; provides necessary instructions and copies scripts. Performs end of day and monthly reconciliation to confirm all scheduled treatments and appointments. Provides MD and care teams with reconciliation of outstanding documentation to prevent delays in patient care. Monitors and follows up on "no show" patients, identifies compliance issues, and prepares reports on no‑show trends. Identifies potential billing and insurance issues and ensures patients complete relevant forms. Provides necessary documentation to the Cancer Center Treatment/Procedure Authorization Team. Provides cross coverage for Patient Flow Coordinators and supports the Cancer Center’s overall operations. Communicates daily with Financial Navigation staff, authorization team, Patient Flow Coordinators and all cancer center staff to facilitate smooth operations. Maintains a calm, friendly and positive demeanor to provide service excellence for patients and referring MDs while meeting the operational needs of the center. Creates spreadsheets and reports related to reconciliation and operational issues to support volume growth. Supports administrative functions for obtaining physician orders and responding to inquiries. Greets patients and answers telephones in the assigned area, directing calls appropriately. Provides in‑service training for users. Maintains Cerner performance workflow day‑to‑day operations. Provides backup coverage for Patient Flow Coordinators in the Cancer Center and other sites as required. Performs any other duties as assigned. Qualifications Required: Bachelor's degree; at least 4 years of direct patient and physician customer service in healthcare; proficiency with Microsoft Office applications; problem‑solving skills; excellent verbal and written communication skills. Preferred: Experience in cancer or cancer‑related outpatient or ambulatory health care services; experience with Tableau; experience with Cerner; bilingual in Spanish and English.
