Front Office/Surgical Scheduler Responsible to: Front Office Manager Definition: Create a comfortable environment for patients on admission. Obtain and process necessary information for patient admission. Schedule surgeries. Process paperwork efficiently to allow for timely billing. Qualifications: Previous job experience with patient interaction in a medical environment. Education: High school diploma or equivalent. Job Duties Serve as the point of contact of the ASC with patients, ensuring a positive impression and correcting errors in charts, screening inappropriate candidates, and maintaining excellent communication with all providers. Conduct pleasant and supportive personal interactions with patients, including phone courtesy. Complete check‑in paperwork for patients, ensuring HIPAA compliance, identification, insurance information, and any additional required forms. Maintain the cleanliness and stock of the surgery waiting room. Perform postoperative billing tasks: check charts for completion, correct billing forms, verify paperwork sent to billing, return incorrect billing sheets for correction, and review patient refund requests for approval before issuing refunds. Ensure charts are complete with all required documentation within 72 hours post‑procedure and follow up on operative results and pathology reports. Organize medical records, creating an efficient filing system for miscellaneous paperwork, operative notes, pathology reports, and log books. Assist the Front Office Manager as needed. Additional Qualifications Knowledge of computer programs and applications. Skill in operating office equipment. Skill in handling paperwork and filing adequately. Skill in written and verbal communication. Maintain strict patient confidentiality and adhere to HIPAA. Experience One (1) year of office clerical experience preferred. Medical office experience preferred. Performance Requirements Ability to learn and use other computer programs, including Microsoft Excel, e‑mail, Internet, and Microsoft PowerPoint. Ability to sort and file materials correctly by alphabetic or numeric systems. Ability to flexibly respond to changing demands. Ability to organize and prioritize tasks effectively.
