Job Description

Summary of Duties:

Provides reception and administrative support to ensure effective communication and daily operations of the agency. Serves as a primary point of contact for internal and external stakeholders.

Qualifications:

• High school diploma required; additional training in Office Administration or Computer Systems preferred.

• Strong communication and interpersonal skills.

• Ability to manage multiple tasks and maintain organization in a fast-paced environment.

• Proficiency in data entry, word processing, and office systems.

• Attention to detail and ability to maintain confidentiality.

Key Responsibilities:

• Serve as receptionist by greeting visitors, answering calls, and directing inquiries to appropriate staff.

• Coordinate incoming and outgoing mail and assist with basic financial tracking (e.g., logging received payments).

• Provide administrative support, including filing, record maintenance, and document organization.

• Assist applicants, visitors, and stakeholders with general inquiries and forms, directing them to appropriate staff as needed.

• Provide administrative support across office functions, including backup for reception, mail handling, scheduling, coordination, and other assigned duties.

• Support client needs by assisting with procurement of personal items, transportation coordination, and communication with staff as needed.

• Perform other duties as assigned.
