This Practice Manager will oversee OBGYN Bloomfield Hills and OBGYN Clarkston practices. Employment Overview Employment Type: Full time Shift: Day Shift Position Description The Practice Manager works with the Site Medical Director (SMD) to oversee the clinical and administrative aspects of the practice(s), including practice profitability, revenue goals and CORE metrics. Responsibilities include ensuring clinical quality of care, customer and staff satisfaction, productivity, revenue enhancement, managed care performance, staff leadership, and adequate patient access. Essential Job Functions Leadership Responsibilities Direct internal practice operations; create benchmarks, track and report progress, research process improvements/efficiencies, recommend and implement changes. Work with the SMD to develop the vision and direction of the practice in alignment with IHA’s priorities. Develop, implement, and manage the CORE Work plan with practice providers and management team. Review patient care quality data, peer review data, develop action plans as necessary; review risk assessment and monitor continuing medical education. Ensure patient satisfaction scores demonstrate continuous improvement. Management Responsibilities Hire, train, supervise, evaluate, discipline, and terminate practice staff. Create a positive and productive work environment to attract and retain staff, providers and patients. Work with SMD, practice supervisors, and Division Director to ensure appropriate staff mix and competencies. Organize and implement orientation and training programs for new staff and providers. Promote educational opportunities; develop future leadership within the office. Review annual staff and provider satisfaction reports; develop and monitor improvement plans. Address personnel issues with staff supervisors, SMD and HR; contribute to evaluation and improvement plans for physicians/APNs. Coordinate provider scheduling. Compliance Responsibilities Ensure practice compliance with federal, state and safety regulations. Maintain physician documentation and coding audit program. Support SMD and clinical leadership with quality and patient safety improvement plans. Communication Responsibilities Work respectfully and cooperatively with management, staff, patients, and vendors; handle escalated issues. Administer regular provider and staff meetings to gather feedback, ensure patient access, and develop teamwork. Provide office staff and providers with accurate information about IHA activities and goals. Meet regularly with SMD and Division Director to review progress and problems. Attend Divisional Operating Team and Practice Manager meetings; review financials, productivity, budget status and CORE progress. Fiscal Responsibilities Accountable, with the SMD, for financial performance of the practice. Develop and manage the annual practice budget. Review monthly financial data and develop tools to assist SMD in understanding practice performance. Prepare and respond to monthly budget variance reports. Monitor statistical reports and practice trends; develop action plans. Work with the Division Director to develop cost‑effective staffing models and office operations. Other Responsibilities Participate in new business development as appropriate. Implement effective, quality marketing programs. Perform other duties as assigned. Essential Qualifications Education: Bachelor’s degree preferred; 1‑2 years of college coursework plus 5+ years of relevant work experience considered; additional experience may compensate for lack of coursework. Credentials/License: None. Minimum Experience: Prior leadership experience in a medical office or related environment; minimum 4 years in combination with education; four years of direct supervision of non‑exempt staff and leadership team required. Position Requirements (Abilities & Skills) Extensive knowledge of health care functions, billing, coding, reimbursement practices, and quality improvement initiatives. Knowledge of legal and compliance aspects of health information systems and best practices in medical office operations. Proficient in operating a standard desktop and Windows‐based system, EMR software, Microsoft Word, Excel, intranet, and other required software. Excellent written and verbal communication, including phone etiquette. Public speaking and conflict resolution abilities. Collaborative, courteous, and friendly demeanor. Effective work with diverse populations and various organizational levels. Cross‑train in other practice areas for smooth operations. Strong organizational and time‑management skills; ability to juggle multiple priorities. Sound judgment, problem‑solving, coordination, and supervisory skills. Data analysis and interpretation for effective response. Confidential handling of staff and organizational information. Completion of IHA competency‑based program during training period. Minimum Physical Expectations Physical activity often involves sitting or standing, keyboarding, filing, phone work, extensive computer use, walking, standing, bending, stooping, reaching, twisting, and occasional lifting or pulling under 30 lbs. Vision: close vision, depth and peripheral perception. Manual dexterity sufficient to operate keyboard, copier, phone, calculator, and other office equipment.
