Inbound Healthcare Program Specialist

Medici Orthopaedics & Spine is a physician-led interventional pain management and spine practice serving Metro Atlanta. We provide comprehensive care under one roof — from diagnostic evaluation and physical therapy through interventional procedures, spinal cord stimulation, spine surgery, and hyperbaric oxygen therapy. We're hiring a Program Specialist to join our growth team in a role that blends patient coordination with healthcare business development. This is an entry-level position designed for someone who wants to build a career in healthcare sales and partnership development — not just answer phones. The role has two sides: On the patient side, you'll manage inbound intake — scheduling new patients, running discovery calls to understand their needs, answering questions about our services, and ensuring every referral converts to a booked appointment. You're the first person patients interact with, and you set the tone for their entire experience. On the growth side, you'll work alongside our Physician Liaison team to support networking and partnership development with PI attorneys, physician offices, and referral partners across Metro Atlanta. This means helping prepare for partner meetings, coordinating follow-ups, tracking referral activity in the CRM, and learning the business development side of healthcare from the inside. We built this role intentionally as a launchpad. For the right person, this is the path into a Physician Liaison position — a field-based business development role with significantly higher earning potential. What you'll do: Manage inbound patient intake — answer calls, schedule appointments, and guide new patients through the process with warmth and professionalism Run discovery calls to understand patient needs, insurance situation, and clinical concerns — then connect them with the right provider and location Own the referral-to-scheduled pipeline — track every referral in the CRM from received to contacted to booked, and follow up persistently until the patient is on the schedule Support the Physician Liaison team on partnership and networking initiatives — help prepare meeting materials, coordinate outreach follow-ups, track partner engagement, and maintain referral source records Assist in coordinating community events, partner meetings, and relationship-building activities across the Kennesaw and Snellville markets Capture referral source attribution accurately at every intake — this data drives how we grow the practice Follow up with no-shows and cancellations — recover lost appointments and close the loop with referring offices Contribute to weekly reporting on intake volume, conversion rates, and referral pipeline health Who you are: You're interested in building a career in healthcare sales and business development — this isn't just a stepping stone, it's where you want to start You have exceptional customer service instincts — patients dealing with pain and injury feel heard, cared for, and confident when they talk to you You're naturally curious — you ask questions, you want to understand how things work, and you dig into problems rather than waiting for someone to tell you what to do You're passionate about making an impact in healthcare — you want your work to matter, not just fill a seat You're tech-savvy and organized — you can manage multiple systems, dozens of open tasks, and a busy pipeline without letting things slip You're reliable, self-accountable, and take ownership of outcomes Qualifications: Bachelor's degree preferred but not required if you bring the right experience and drive Strong verbal and written communication skills Proficiency with HubSpot or similar CRM platforms Experience with outreach tools and workflows (email sequences, follow-up cadences, pipeline management) Highly organized with strong attention to detail Comfortable working across multiple systems simultaneously (CRM, EHR, scheduling, call tracking) 1-2 years Sales Experience Preferred: 1–2 years of experience in healthcare, medical office, patient coordination, or customer-facing roles Familiarity with spine, orthopedic, or pain management care Experience with EMR/EHR systems (athenahealth is a plus) Bilingual (English/Spanish) is a plus Compensation & Growth: $50,000 salary | Full-time Health benefits package This role is designed to grow with you.
