As a Scheduler at Harmony - Women's Health, you'll play an essential role in creating a welcoming, seamless, and positive experience for patients throughout their care journey. You'll be responsible for coordinating patient appointments, supporting healthcare providers and clinic staff, and helping ensure patients receive timely access to the care they need.

Working closely with patients, providers, and administrative teams, you'll use scheduling systems and electronic health records to coordinate appointments, communicate important information, and help resolve scheduling needs. Compensation: Starting at $16.45/hour , based on experience, education, and equity.
Status: Non-Exempt

What You'll Do as a Clinic Scheduler

Appointment Scheduling

• Efficiently coordinate and schedule patient appointments based on provider availability, appointment priorities, and patient needs.
• Maintain organized and accurate provider schedules to support efficient clinic operations and timely patient access.
• Schedule, reschedule, and cancel appointments accurately and in accordance with established procedures.

Patient & Provider Communication

• Interact professionally and compassionately with patients, healthcare providers, and clinic staff to coordinate and confirm appointments.
• Clearly communicate appointment dates, times, locations, preparation requirements, and other important instructions to patients.
• Respond to patient questions and concerns regarding appointments, scheduling, rescheduling, and cancellations.

Scheduling & Record Management

• Maintain accurate appointment records using electronic scheduling systems and electronic health record (EHR) systems.
• Update patient information and scheduling records as needed to ensure information remains current and accurate.
• Document scheduling activities and communications in accordance with established procedures and organizational standards.

Patient Coordination & Follow-Up

• Collaborate with healthcare providers and clinic staff to optimize schedules and accommodate patient needs.
• Conduct timely follow-up calls or reminders to confirm appointments and provide pre-appointment instructions.
• Assist patients with rescheduling when appointments change or additional coordination is required.
• Help identify scheduling needs and opportunities to improve patient access and overall clinic efficiency.

Conflict Resolution & Schedule Management

• Address scheduling conflicts promptly and professionally.
• Work proactively with patients, providers, and staff to identify alternative appointment options and minimize disruptions to patient care.
• Communicate schedule changes, cancellations, and other updates to all appropriate parties in a timely manner.

Team Collaboration

• Work collaboratively with administrative staff, healthcare providers, and other members of the care team to promote efficient clinic operations.
• Assist with additional administrative responsibilities and departmental tasks as needed.
• Demonstrate professionalism, teamwork, compassion, and a commitment to providing an exceptional patient experience.

Qualifications

Minimum Education

• High School Diploma or GED preferred, but not required.

Experience

• Proven experience in appointment scheduling or a related administrative role preferred.
• Previous healthcare, medical office, or customer service experience is advantageous.

Licensure & Certifications

• Certification in healthcare administration or a related field is advantageous but not required.

Knowledge, Skills, & Abilities

• Proficiency with scheduling software and electronic health record (EHR) systems.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to prioritize multiple tasks and work efficiently in a fast-paced environment.
• Strong problem-solving and conflict-resolution skills.
• Customer-focused approach with a commitment to providing a positive and compassionate patient experience.
• Ability to maintain confidentiality and appropriately handle sensitive patient information.
• Ability to work effectively both independently and as part of a team.

Physical Requirements

• Ability to sit or stand for extended periods.
• Manual dexterity and coordination to operate a computer, telephone, and other office equipment.
• Visual acuity necessary for computer use, reviewing schedules, and maintaining accurate records.
• Hearing and communication abilities within normal ranges to effectively interact with patients, providers, and staff.

Work Environment

• Primarily works in an office or clinic setting.
• Regular interaction with patients, healthcare providers, administrative staff, and other members of the healthcare team.
• A fast-paced environment requiring the ability to manage multiple priorities and changing schedules.
• Occasional evening or weekend hours may be required based on patient needs, clinic operations, or special events.
