QTrade Teas & Botanicals is seeking a Shipping Logistics Coordinator to oversee inbound and outbound logistics operations from our warehouse office. This role serves as the primary point of contact for freight scheduling, shipping documentation, ERP transactions, and carrier coordination while working closely with Warehouse, Production, Planning, and Customer Service to ensure products move efficiently from receipt through customer delivery.

What You'll Do

• Coordinate inbound and outbound shipments with approved freight carriers.
• Schedule transportation to support production schedules and customer delivery commitments.
• Prepare and process Bills of Lading, packing slips, freight invoices, carrier paperwork, and shipping documentation.
• Accurately process shipping and receiving transactions within the ERP system (NetSuite preferred).
• Verify shipment quantities, lot numbers, destinations, purchase orders, and sales orders for accuracy.
• Serve as the primary administrator for shipping and receiving documentation, ensuring traceability and audit readiness.
• Communicate daily with carriers regarding pickups, deliveries, delays, freight claims, and shipment status.
• Investigate and resolve shipping discrepancies, damaged freight, billing issues, and inventory variances.
• Obtain and compare freight quotes to support cost-effective transportation decisions.
• Collaborate with Warehouse, Production, Planning, and Customer Service teams to ensure shipment readiness.
• Support inventory accuracy through transaction validation, reporting, and cycle count reconciliation.
• Maintain organized digital and physical shipping records.
• Support continuous improvement initiatives related to shipping accuracy, freight costs, and logistics processes.
• Ensure compliance with GMP, food safety, SQF, and workplace safety standards.

What We're Looking For

Required Qualifications

• High school diploma or GED required; Associate's degree preferred.
• 2–3 years of shipping, receiving, logistics, or transportation coordination experience in a warehouse or manufacturing environment.
• Experience coordinating freight carriers and scheduling shipments.
• Strong understanding of inbound and outbound logistics processes.
• Experience with ERP systems (NetSuite preferred).
• Advanced Microsoft Excel and data entry skills.
• Excellent organization, attention to detail, and documentation accuracy.
• Strong communication and customer service skills.
• Ability to safely operate a forklift. Experience operating a reach truck (high-reach forklift) and order picker is preferred.
• Ability to prioritize multiple deadlines in a fast-paced environment.
• Ability to work independently while collaborating effectively with Warehouse, Production, Planning, and Customer Service teams.

Preferred Qualifications

• Food manufacturing experience.
• Experience supporting inventory reconciliation and cycle counts.
• Forklift certification is a plus (not required).

Physical Requirements

• Ability to alternate between office and warehouse environments throughout the workday.
• Ability to safely operate a forklift; reach truck and order picker is preferred.
• Ability to stand, walk, bend, and climb on a frequent basis.
• Ability to occasionally lift up to 50 pounds with or without assistance.
• Ability to use computers and ERP systems for extended periods while also performing warehouse-related tasks as needed.
• Comfortable working in a warehouse environment with varying temperatures and noise levels while following all safety requirements.
