BASIC PURPOSE: The HR Service Specialist plays a key role in advancing HR Shared Services by strengthening the way team members, managers, and HR partners access support, information, and technology-enabled solutions. This position supports the delivery of efficient, consistent, and data-informed HR services by resolving inquiries, promoting self-service adoption, supporting change, and leveraging service trends and analytics to improve processes, enhance the employee experience, and support broader HR operational goals.

MAJOR RESPONSIBILITIES:

• Leverage HR Shared Services analytics, case management data, employee feedback, and system usage metrics to identify trends, opportunities, and areas for improvement. 
• Through use of independent judgement, utilize trending information to make recommendations to leadership and manage action items for resolution to meet business needs. 
• Analyze HR service delivery metrics including case volumes, resolution times, contact drivers, escalation trends, self-service utilization, and employee satisfaction measures.
• Monitor adoption and effectiveness of HR systems, technology enhancements, digital tools, and self-service resources.
• Develop and maintain dashboards, reports, and presentations that provide actionable insights to HR leadership and business stakeholders.
• Partner with stakeholders to establish key performance indicators (KPIs) and measure the success of HR technology, change management, and employee support initiatives.
• Utilize support trends and analytics to identify knowledge gaps, training needs, and opportunities to enhance self-service content and digital adoption resources.
• Create, maintain, and improve HR Shared Services documentation, knowledge articles, quick reference guides, standard operating procedures, and training resources to support consistent service delivery and effective self-service adoption.
• Identify, recommend, and support system and process enhancements that improve efficiency, accuracy, user experience, and overall HR service delivery.
• Support data-driven decision-making by evaluating the impact of process improvements, technology enhancements, and service delivery strategies.
• Continuously assess employee interactions and service patterns to recommend and implement proactive solutions that reduce friction and improve the overall employee experience.

SKILLS AND PHYSICAL DEMANDS:

• HARD SKILLS:
  • Proficiency with HR systems, case management tools, reporting platforms, dashboards, Microsoft Office applications, and digital adoption or knowledge management resources.
  • Ability to analyze HR Shared Services metrics, employee support trends, operational data, KPIs, service-level agreements, self-service utilization, and customer satisfaction measures.
  • Experience creating and maintaining documentation, knowledge articles, quick reference guides, standard operating procedures, process maps, and training resources.
  • Ability to identify system and process improvement opportunities, support testing or implementation activities, and translate business needs into practical service delivery enhancements.
• SOFT SKILLS:
  • Strong communication skills with the ability to explain information clearly to team members, managers, HR partners, and business stakeholders.

• PHYSICAL DEMANDS :
  • Regularly required to sit, stand, walk, talk, hear, and use hands and fingers to operate a computer, phone, keyboard, mouse, and other standard office equipment.
  • Frequently required to view a computer screen, enter data, review documents, and communicate through phone, email, chat, video meetings, and other digital channels for extended periods.
  • Must be able to communicate clearly and professionally with team members, managers, HR partners, and business stakeholders in person and through virtual communication methods.
  • Occasionally required to reach, bend, stoop, lift, carry, push, or pull office materials or equipment weighing up to 10 pounds.
  • Must be able to perform work in a standard office or remote office environment with typical noise levels, lighting, and workstation equipment.

EDUCATION AND EXPERIENCE:

• High school diploma or equivalent required; associate or bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
• 3-5 years previous experience in Human Resources, Shared Services, customer service, employee support, or administrative support preferred.
• 3-5 years previous experience using HR systems, case management tools, reporting platforms, or digital adoption resources preferred.
• Experience reviewing data, identifying trends, and supporting process improvement initiatives preferred.
