This role also involves customer communication, billing coordination, and maintaining accurate dispatch records. The Dispatcher will help ensure seamless handoffs, proactively address issues, and uphold our commitment to Service, Efficiency, and Safety.Duties/Responsibilities:DispatchPerform daily order entry and dispatch of loads to drivers and owner-operators.Use logistical measures to reduce empty miles and increase profitability.Maintain and update dispatch sheets with load counts, driver counts, and other pertinent details.Distribute daily dispatch sheets to leadership, fleet, and billing teams.Manage trailer assignments, coordinate purging and flaring as needed, and notify billing for any billable activity.Prepare daily recaps including completed, missed, rolled, or canceled loads.Provide weekly dispatch handoffs with detailed updates on drivers, customers, volumes, and equipment status.Customer CommunicationsCoordinate loads with customers, including new location setup and details for drivers and billing.Communicate service issues in a timely manner.Respond to customer requests for information, proof of delivery, or service updates promptly.Ensure all emails and phone calls are addressed within one hour after hours during your rotation, and immediately during business hours.Forward new business or rate requests to designated leadership.Address billing and customer questions related to loads completed during your rotation.Report any load issues (e.g., transloads, split loads, diversions, or excessive wait times) to the billing group with dispatch details.SchedulingWork a rotating 10 days on, 4 days off day shift scheduleMaintain driver schedules on Teams, and ensure all changes are communicated.Support schedule adjustments for PTO or appointments, ensuring seamless coverage.Perform additional duties as assigned by management.The absence of specific statements of duties does not exclude those tasks from the position if the work is similar, related, or a logical assignment of the position.Education and Experience:High school diploma or equivalentOne (1) year of dispatch and/or customer service experience preferred, ideally in the propane or oil industryRequired Skills/Abilities:Excellent organizational and time-management skills.Strong written and verbal communication abilities.Proficiency in Microsoft Office Suite and dispatch-related software.Ability to provide exceptional customer service and resolve issues effectively.Knowledge of dispatch scheduling practices and logistics coordination.Physical Requirements:The physical requirements described here are representative of those that must be met by the incumbent to successfully perform the essential functions of this job.Prolonged periods sitting at a desk, using a phone, and working on a computerMust be able to lift up to 30 pounds as needed in order to safely assist with duties around the office and/or plant as neededMust pass a pre-employment screening and background checkThe above statements are intended to describe the general nature and level of work that is expected to be performed.
