Employment Type Part time Shift Day Shift Position Summary The Secretary / Receptionist coordinates the efficient flow of patients and visitors. The secretary/receptionist greets all outpatients and visitors, informs other staff of arrivals, answers and relays all incoming telephone calls, and maintains staff and patient schedules. Other tasks include, but are not limited to, general reception and clerical duties such as preparing patient charts for visits, requesting and retrieving patient records, filing, and typing correspondence and reports. The Secretary/Receptionist is responsible for maintaining the confidentiality of all personal and clinical information of the patients served. Education Requirements High school graduate or equivalent. Experience Requirements Computer word processing skills—minimum of 55 wpm required. Excellent communication and interpersonal skills required. Previous medical office reception or clerical experience preferred. Principal Responsibilities Reception: greet all patients and visitors in a courteous and respectful manner. Effectively schedule patient consultations, follow‑up visits, and simulations and collect the necessary information for the appointment. Schedule imaging studies and other outside appointments for patients as requested. Request assistance or ancillary equipment to assist with patient ambulation needs. Operate telephone and department P.A. systems in an effective and courteous manner. Accurately maintain staff, location, and meeting schedules. Promptly inform other staff of patient or visitor arrivals in the appropriate manner. Obtain prior insurance authorizations for imaging studies and procedures. Request accurate and complete registration information for all patients. Maintain accurate and complete daily business records and logs. Promptly send and receive faxes, copy and send patient records to outside sources; sort, distribute and send mail daily. Maintain an adequate level of supplies and a clean and orderly work area. Perform the transcriptionist registration and secretarial duties and assist with special projects as needed. Cross cover for registration; input daily billing. Cross‑Coverage Purposes Only Request and obtain patient records promptly, accurately, and file incoming patient records. Prepare for daily business by having patient charts pulled, x‑ray files available, and schedules distributed. Word processing duties, including inter/intra‑departmental correspondence and patient correspondence as requested. Word‑process CQI reports and minutes in a timely manner. Create forms for reports or data collection and promptly assist with other projects. Pay Range $17.25 – $22.99 per hour. Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
