Psychiatry Associates of Kansas City is seeking a highly organized, detail-oriented Medical Records Specialist to join our growing team. This role is ideal for someone who enjoys working behind the scenes to ensure accuracy, compliance, and exceptional patient service.

The Medical Records Specialist is responsible for managing medical records requests, supporting insurance and payer audits, coordinating documentation for continuity of care, and serving as a resource for patients, providers, and third parties regarding health information requests. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and understands the importance of confidentiality and accuracy.

What You'll Do

• Process and fulfill medical records requests in compliance with HIPAA regulations
• Manage requests through electronic health records (EHR), patient portals, and electronic fax systems
• Maintain timely turnaround times and keep records requests current
• Accurately document and track all requests and disclosures
• Distribute clinical documentation to support continuity of patient care
• Complete payer chart audits and submit requested documentation through insurance portals
• Respond to phone inquiries regarding medical records requests
• Communicate professionally with patients, providers, insurance companies, attorneys, and other authorized parties
• Maintain strict confidentiality of protected health information
• Support additional health information management functions as needed

Qualifications

Required:

• High school diploma or GED
• Minimum of 2 years of experience in a medical office or healthcare setting
• Strong organizational skills and attention to detail
• Excellent verbal and written communication skills
• Ability to manage multiple tasks and deadlines simultaneously
• Basic computer proficiency, including Microsoft Office

Preferred:

• Experience processing medical records requests
• Knowledge of HIPAA Privacy and Security regulations
• Experience with electronic health records (EHR)
